TERMS & CONDITIONS
INTRODUCTION
These Master Terms & Conditions (the “Terms”) constitute a legally binding agreement governing the registration, participation, attendance, engagement, involvement, and all forms of association with the RSW INTERNATIONAL FESTIVAL 2026 (the “Festival”), organized by Rise and Shine World Inc. (the “Organizer”), in partnership with its official event and operational collaborators, including but not limited to Jam Global Events and any other designated partners, affiliates, representatives, contractors, and authorized entities involved in the planning, coordination, execution, and delivery of the Festival.
These Terms apply comprehensively and without limitation to all individuals, entities, institutions, organizations, and participants globally (collectively referred to as “Participants”), including but not limited to delegates, contestants, exhibitors, sponsors, speakers, performers, media representatives, partners, volunteers, and any other persons who engage with, attend, participate in, or are otherwise associated with the Festival in any capacity.
These Terms govern all aspects of the Festival, including but not limited to registration, participation, attendance, engagement, involvement, conduct, rights, obligations, and liabilities in relation to RSW INTERNATIONAL FESTIVAL 2026.
These Terms apply to all official Festival activities and components, whether conducted physically, virtually, digitally, or in hybrid formats, including but not limited to conferences, summits, exhibitions, competitions, forums, pageants, performances, workshops, networking sessions, trade activities, cultural programs, promotional activities, ceremonies, awards, and any other official or affiliated Festival-related engagements.
By registering for, applying to, purchasing access to, being selected for, invited to, attending, participating in, or otherwise engaging with any event or activity under the Festival, each Participant expressly acknowledges, agrees, and confirms that they are legally bound by:
- these Master Terms & Conditions;
- the specific terms and conditions applicable to the particular event, program, or activity for which they are registered, selected, or participating; and
- all official policies, codes of conduct, rules, guidelines, operational instructions, procedures, and directives issued by the Organizer from time to time in connection with the Festival.
Acceptance of these Terms may occur through, without limitation:
- submission of a registration or application;
- purchase of any participation package, pass, or access credential;
- receipt and acceptance of an invitation or accreditation;
- physical attendance at any Festival venue or activity;
- digital or online participation in any Festival platform or session; or
- use of any Festival-issued badge, credential, login, or access authorization.
Such acceptance shall be deemed valid, binding, and enforceable irrespective of whether it is made electronically, digitally, physically, or through conduct, and shall constitute full and unconditional agreement to these Terms.
No Participant shall be permitted to participate in, attend, or engage with any aspect of the Festival unless they have accepted and agreed to be bound by these Terms in their entirety.
These Terms shall operate as the master governing legal framework for the Festival and shall apply across all events and activities under the RSW INTERNATIONAL FESTIVAL 2026 umbrella. Any event-specific terms shall be read together with these Terms, and in the event of any inconsistency, the Organizer shall determine the interpretation and application of such provisions to the fullest extent permitted by law.
The Festival is hosted in Adelaide and operates under the applicable laws and regulatory frameworks of Australia. All Participants are required to comply with all applicable local, national, and international laws, regulations, and requirements in connection with their participation in the Festival.
By proceeding with registration, participation, or engagement in any form, each Participant confirms that they have read, understood, and agreed to these Terms, and that they accept full responsibility for compliance with all provisions contained herein.
SECTION A – MASTER GENERAL PROVISIONS APPLYING TO THE ENTIRE FESTIVAL
DEFINITIONS AND INTERPRETATION
1.1 DefinitionsFor the purposes of these Master Terms & Conditions, and unless the context otherwise requires, the following terms shall have the meanings set out below:
1.1.1 “Festival”
Means the RSW INTERNATIONAL FESTIVAL 2026, a global multi-sector platform comprising multiple official events, programs, and activities conducted over a defined period, including all associated physical, digital, hybrid, promotional, commercial, competitive, cultural, and ceremonial components organized under the Festival umbrella.
1.1.2 “Organizer”
Means Rise and Shine World Inc., including its directors, officers, employees, representatives, agents, affiliates, successors, assigns, and any authorized persons or entities acting on its behalf in connection with the Festival.
1.1.3 “Official Partner”
Means any entity formally designated, appointed, or recognized by the Organizer to support, co-organize, manage, sponsor, facilitate, or deliver any aspect of the Festival, including but not limited to Jam Global Events and any additional partners, collaborators, contractors, or service providers authorized by the Organizer.
1.1.4 “Participant”
Means any individual or entity who registers for, applies to, attends, participates in, engages with, or is otherwise associated with the Festival in any capacity, whether directly or indirectly, physically or digitally.
1.1.5 “Delegate”
Means a Participant who attends or participates in the Festival for purposes including, but not limited to, learning, networking, business engagement, professional development, or general participation, whether under a paid or accredited registration.
1.1.6 “Contestant”
Means a Participant who is registered, selected, or approved to compete in any competition, pageant, award, or performance-based event within the Festival, including but not limited to title-based or talent-based categories.
1.1.7 “Exhibitor”
Means a Participant or entity authorized to display, promote, market, or present products, services, innovations, or materials within any exhibition, trade, or showcase component of the Festival.
1.1.8 “Sponsor”
Means any entity or individual providing financial, material, technical, or promotional support to the Festival or any of its events, in exchange for agreed benefits, recognition, branding, or participation rights.
1.1.9 “Speaker”
Means any Participant invited, approved, or engaged to deliver presentations, lectures, panels, workshops, keynote addresses, or any form of knowledge-sharing contribution within the Festival.
1.1.10 “Guest”
Means any individual attending the Festival on an invitation basis, whether as a VIP, accompanying person, observer, or non-participating attendee, subject to applicable access rights and conditions.
1.1.11 “Media Representative”
Means any individual or entity accredited or authorized to report on, document, broadcast, publish, or otherwise cover the Festival through any form of media, including print, digital, audio, visual, or social media platforms.
1.1.12 “Event”
Means any individual conference, summit, forum, exhibition, competition, pageant, performance, workshop, session, or official activity conducted under the Festival umbrella.
1.1.13 “Pass / Registration / Package”
Means any form of official access authorization issued by the Organizer, whether paid or complimentary, granting a Participant the right to attend or participate in specific parts of the Festival, subject to defined terms, conditions, and entitlements.
1.1.14 “Venue”
Means any physical location, site, facility, or premises where any part of the Festival is held, including official event spaces, partner venues, and associated areas designated for Festival use.
1.1.15 “Digital Platform”
Means any online system, website, application, portal, streaming service, communication channel, or technological interface used by the Organizer to facilitate registration, participation, engagement, or delivery of Festival content.
1.1.16 “Content”
Means all materials, information, presentations, recordings, performances, data, documents, publications, audio, video, digital assets, and any other form of content created, presented, published, or made available in connection with the Festival.
1.1.17 “Intellectual Property”
Means all rights, whether registered or unregistered, in and to any patents, trademarks, service marks, logos, designs, copyrights, trade secrets, know-how, branding elements, and any other proprietary rights associated with the Festival or its Content.
1.1.18 “Force Majeure”
Means any event or circumstance beyond the reasonable control of the Organizer which prevents, delays, or affects the performance of its obligations, including but not limited to natural disasters, pandemics, acts of government, war, terrorism, civil unrest, technical failures, or other unforeseen disruptions.
1.1.19 “Applicable Law”
Means all laws, statutes, regulations, rules, and legal requirements in force within Australia, including those applicable in South Australia, and any other jurisdiction relevant to the Participant’s involvement in the Festival.
1.2 Interpretation1.2.1 General Interpretation
In these Terms, unless the context otherwise requires, words importing the singular shall include the plural and vice versa, and words importing any gender shall include all genders.
1.2.2 Headings
Headings, titles, and section labels are included for convenience only and shall not affect the interpretation, meaning, or construction of these Terms.
1.2.3 Inclusive Language
Words such as “including”, “includes”, or “in particular” shall be construed as illustrative and shall not limit the generality of the preceding words.
1.2.4 References
References to any clause, section, or provision shall be deemed to refer to the relevant clause, section, or provision within these Terms unless otherwise stated.
1.2.5 Legal Construction
These Terms shall be interpreted in a manner that gives full effect to their purpose as a comprehensive and enforceable legal framework governing the Festival and all related activities.
1.2.6 Language
These Terms are drafted in the English language, which shall be the governing and prevailing language. Any translation of these Terms is provided for convenience only, and in the event of any inconsistency or conflict, the English version shall prevail.
2. ORGANIZER IDENTITY AND LEGAL AUTHORITY
2.1 Organizer of the FestivalThe RSW INTERNATIONAL FESTIVAL 2026 is officially organized and administered by Rise and Shine World Inc. (the “Organizer”), which acts as the principal entity responsible for the overall conception, ownership, governance, coordination, and execution of the Festival.
The Organizer shall operate through its internal structures, authorized representatives, appointed committees, and designated personnel for the effective delivery of all Festival components.
2.2 Official Partners and Implementation EntitiesThe Organizer may collaborate with, appoint, or engage official partners, including but not limited to Jam Global Events, as well as other strategic, operational, technical, commercial, or institutional partners (collectively referred to as “Official Partners”), for the purposes of supporting, implementing, managing, or delivering specific aspects of the Festival.
Such Official Partners may act under the direction, authority, and supervision of the Organizer and shall only exercise powers expressly delegated or authorized by the Organizer.
Nothing in these Terms shall be construed as transferring ownership, control, or ultimate authority of the Festival from the Organizer to any Official Partner.
2.3 Authority of the OrganizerThe Organizer shall retain full and exclusive authority, to the fullest extent permitted by applicable law, to:
- administer, manage, and coordinate all aspects of the Festival;
- regulate participation, access, eligibility, and involvement across all Festival activities;
- establish, implement, interpret, and enforce all rules, policies, procedures, and operational frameworks relating to the Festival;
- determine the structure, format, content, scheduling, and execution of all events and activities;
- approve, reject, suspend, or terminate registrations, applications, or participation;
- appoint, supervise, and regulate officials, judges, coordinators, and service providers;
- issue directives, instructions, and decisions necessary for the orderly and successful conduct of the Festival; and
- take any reasonable action deemed necessary to protect the integrity, safety, reputation, and objectives of the Festival.
2.4 Binding Nature of Organizer DecisionsAll decisions, determinations, approvals, interpretations, and actions taken by the Organizer within its lawful authority shall be final and binding on all Participants.
Participants acknowledge and agree that the Organizer may exercise discretion in matters relating to participation, eligibility, compliance, operations, and enforcement, and that such discretion shall be applied reasonably and in accordance with these Terms.
To the fullest extent permitted by law, Participants shall not challenge, dispute, or contest decisions of the Organizer except where expressly permitted under applicable dispute resolution provisions set out in these Terms.
2.5 Delegation of AuthorityThe Organizer may, at its sole discretion, delegate certain operational, administrative, or technical responsibilities to Official Partners, committees, or authorized representatives.
Any such delegation shall not limit or reduce the Organizer’s ultimate authority, and the Organizer shall retain the right to override, review, or modify any delegated decision or action where necessary.
3. SCOPE OF APPLICATION
3.1 Application of Master TermsThese Master Terms & Conditions shall apply comprehensively to all aspects of the RSW INTERNATIONAL FESTIVAL 2026, including but not limited to:
- all twenty-three (23) official events conducted under the Festival umbrella;
- all categories of registration, participation, accreditation, and involvement;
- all Participants, irrespective of their country of origin, nationality, or jurisdiction;
- all forms of participation, including physical attendance, digital engagement, and hybrid involvement; and
- all official Festival platforms, systems, communications, materials, and activities.
3.2 Global ApplicationThese Terms shall apply uniformly to all Participants worldwide, regardless of geographic location, and shall govern participation across international borders, subject to Applicable Law.
Participants are solely responsible for ensuring that their participation complies with the legal and regulatory requirements of their respective jurisdictions, in addition to those applicable to the Festival.
3.3 Coverage of Festival ActivitiesThese Terms extend to all official Festival-related activities, including but not limited to:
- conferences, summits, forums, and workshops;
- exhibitions, trade showcases, and business engagements;
- competitions, pageants, performances, and award programs;
- networking sessions, cultural activities, and promotional events;
- digital platforms, online sessions, and virtual engagements; and
- any other official or affiliated activities conducted under the Festival framework.
3.4 Incorporation of Event-Specific TermsEach Event within the Festival may have its own additional terms, rules, guidelines, or eligibility criteria (“Event-Specific Terms”).
Such Event-Specific Terms are hereby incorporated by reference into these Master Terms & Conditions and shall form an integral part of the contractual relationship between the Organizer and the Participant.
3.5 Dual Applicability of TermsWhere a Participant registers for, applies to, or participates in any specific Event, that Participant shall be bound by:
- these Master Terms & Conditions; and
- the applicable Event-Specific Terms governing that Event.
Compliance with both sets of terms shall be mandatory.
3.6 Relationship Between Master Terms and Event TermsThese Master Terms & Conditions shall serve as the primary and overarching legal framework governing the Festival.
Event-Specific Terms shall supplement, but not replace, these Master Terms, except where expressly stated.
In the event of any inconsistency, conflict, or ambiguity between these Master Terms and any Event-Specific Terms, the Organizer shall determine the interpretation and application of the relevant provisions, to the fullest extent permitted by law.
3.7 Applicability to All Festival Channels and CommunicationsThese Terms shall also apply to all official Festival-related communications, including but not limited to:
- official websites and registration platforms;
- digital applications and online systems;
- emails, notices, and announcements issued by the Organizer;
- marketing, promotional, and informational materials; and
- any other official communication channels used in connection with the Festival.

4. ACCEPTANCE OF TERMS
4.1 Binding Acceptance of TermsParticipation in the RSW INTERNATIONAL FESTIVAL 2026 is strictly conditional upon acceptance of these Master Terms & Conditions. Any individual or entity shall be deemed to have accepted and agreed to be legally bound by these Terms upon undertaking any of the following actions:
- submitting a registration or application for participation in any Event;
- purchasing or securing any participation package, pass, or access credential;
- requesting accreditation, invitation, or official recognition in any capacity;
- participating in any Festival activity, whether physically, digitally, or in hybrid form;
- accepting an invitation, nomination, or selection issued by the Organizer; or
- using, activating, or presenting any Festival-issued credentials, passes, badges, login details, or digital access rights.
Each of the above actions shall independently and collectively constitute full and unconditional acceptance of these Terms.
4.2 Forms of AcceptanceAcceptance of these Terms may occur through electronic, digital, written, verbal, or implied conduct, including but not limited to online confirmations, system acknowledgements, payment transactions, participation activities, or use of Festival infrastructure.
Such acceptance shall be deemed valid, enforceable, and legally binding to the fullest extent permitted under Applicable Law, regardless of the method through which acceptance is communicated or recorded.
4.3 Confirmation of Understanding and AgreementBy accepting these Terms, each Participant expressly represents and warrants that:
- they have read these Terms in full;
- they understand the rights, obligations, conditions, and limitations contained herein;
- they agree to comply with all provisions of these Terms, together with any applicable Event-Specific Terms and official Festival policies; and
- they have the legal capacity and authority to enter into this binding agreement.
4.4 Mandatory Nature of AcceptanceNo individual or entity shall be permitted to access, attend, participate in, or engage with any aspect of the Festival unless they have accepted these Terms.
The Organizer reserves the right, at its sole discretion, to deny access, suspend participation, or remove any individual who has not accepted or who fails to comply with these Terms.
4.5 Continuing AcceptanceAcceptance of these Terms shall be deemed to continue throughout the duration of the Participant’s involvement in the Festival.
Any continued participation, attendance, or engagement following updates, notices, or operational instructions issued by the Organizer shall constitute continued acceptance of these Terms and any modifications made in accordance with them.
5. FESTIVAL STRUCTURE AND EVENT RELATIONSHIP
5.1 Nature of the FestivalThe RSW INTERNATIONAL FESTIVAL 2026 is established as a global, multi-sector, multi-event umbrella platform designed to bring together participants from diverse industries, disciplines, and regions under a unified Festival framework.
The Festival is structured as an integrated ecosystem of events and activities that collectively contribute to its overarching objectives, vision, and international impact.
5.2 Composition of Festival ActivitiesThe Festival includes, without limitation:
- conferences, congresses, and summits;
- expos, exhibitions, and trade showcases;
- competitions, pageants, and talent-based programs;
- forums, dialogues, and policy discussions;
- worship experiences, gospel-centered programs, and faith-based engagements;
- awards ceremonies and recognition platforms;
- workshops, masterclasses, and training sessions;
- networking functions and business engagement activities;
- performances, cultural showcases, and creative presentations; and
- official side activities and affiliated programs recognized by the Organizer.
Each of these components shall be considered an integral part of the Festival.
5.3 Event-Level GovernanceEach Event within the Festival may operate under additional rules, guidelines, procedures, eligibility requirements, and operational frameworks specific to that Event.
Such Event-specific provisions are designed to address the unique nature, objectives, and operational needs of each Event and shall apply in conjunction with these Master Terms.
5.4 Hierarchical Legal FrameworkThese Master Terms & Conditions shall constitute the principal and overarching legal framework governing the Festival.
All Event-Specific Terms, policies, and rules shall be subordinate to and interpreted in alignment with these Master Terms, unless expressly stated otherwise by the Organizer.
5.5 Integration of Events Within the FestivalAll Events are interconnected components of a single unified Festival structure. Participation in any one Event forms part of the broader Festival ecosystem and is subject to the overall governance, coordination, and control of the Organizer.
No Event shall be considered independent of the Festival unless explicitly designated as such by the Organizer.
6. ELIGIBILITY AND PARTICIPATION REQUIREMENTS
6.1 General EligibilityParticipation in the Festival is open to individuals and entities who meet the applicable eligibility criteria as determined by the Organizer.
Participants must satisfy all general and Event-specific eligibility requirements in order to be considered for registration, selection, or participation.
6.2 Age RequirementsParticipants must meet the minimum age requirements applicable to the Festival and/or the specific Event in which they seek to participate.
Where Event-specific age restrictions apply, such restrictions shall take precedence for that Event.
Participants may be required to provide valid proof of age upon request.
6.3 Professional and Institutional EligibilityWhere applicable, Participants must meet any professional, academic, institutional, creative, or sector-specific eligibility criteria relevant to their category of participation.
The Organizer reserves the right to assess and determine eligibility based on submitted information, documentation, qualifications, experience, or other relevant factors.
6.4 Accuracy of InformationAll Participants are required to provide complete, accurate, and truthful information at all stages of registration, application, and participation.
Any false, misleading, incomplete, or fraudulent information may result in rejection, cancellation of registration, suspension, or disqualification, without prejudice to any other rights available to the Organizer.
6.5 Compliance with Laws and RegulationsParticipants must comply with all applicable laws, regulations, and legal requirements of the host country, including those of Australia, as well as any other relevant jurisdictions.
Failure to comply with such laws may result in immediate removal from the Festival and may be reported to relevant authorities where required.
6.6 Verification of EligibilityThe Organizer reserves the right, at any time, to verify the eligibility of any Participant, including but not limited to verification of identity, age, qualifications, credentials, affiliations, and submitted documentation.
Participants shall cooperate fully with any such verification processes and provide supporting documentation upon request.
6.7 Right to Reject or Cancel ParticipationThe Organizer reserves the right, at its sole discretion, to reject, refuse, cancel, suspend, or terminate any registration, application, or participation where:
- eligibility requirements are not met;
- required documentation is not provided or is deemed unsatisfactory;
- false or misleading information has been submitted;
- the Participant fails to comply with these Terms or any applicable rules; or
- participation is deemed inappropriate, unsafe, or inconsistent with the objectives or integrity of the Festival.
Such decisions may be made at any stage, including prior to, during, or after the Festival.
7. REGISTRATION, APPLICATION AND APPROVAL
7.1 Registration ProcessParticipation in the Festival shall be initiated through the official registration process established by the Organizer, which may be conducted via designated online platforms, official websites, digital systems, or other authorized channels.
All Participants are required to complete the applicable registration or application forms in full, providing all requested information accurately and in accordance with the instructions issued by the Organizer.
The Organizer reserves the right to modify, update, or enhance the registration process, including system requirements, submission procedures, or documentation formats, as necessary for operational efficiency.
7.2 Application-Based ParticipationCertain categories of participation may be subject to an application and selection process. Such categories may include, but are not limited to, competitions, pageants, speaking roles, exhibitions, sponsorship opportunities, and other curated or limited-capacity activities.
Applicants under such categories may be required to submit additional information, including but not limited to portfolios, profiles, proposals, credentials, supporting statements, or any other materials specified by the Organizer.
Submission of an application does not create any entitlement or right to participation.
7.3 Invitation-Only ParticipationCertain Festival roles, categories, or activities may be accessible strictly on an invitation-only basis.
The Organizer reserves the exclusive right to identify, select, invite, or nominate individuals or entities for such categories at its sole discretion.
Invitation does not constitute confirmation of participation until all applicable requirements, including acceptance and compliance with these Terms, are fulfilled.
7.4 Supporting Documentation RequirementsParticipants may be required to provide supporting documentation as part of the registration or application process. Such documentation may include, but is not limited to:
- identification documents;
- proof of age;
- professional or academic credentials;
- organizational affiliations;
- portfolios or work samples;
- payment confirmations; and
- any other documents reasonably required by the Organizer.
All submitted documentation must be valid, authentic, and verifiable. The Organizer reserves the right to request additional documentation or clarification at any stage.
7.5 Approval and ConfirmationAll registrations and applications are subject to review and approval by the Organizer.
Approval shall be granted only upon satisfaction of all applicable requirements, including eligibility verification, submission of required documentation, and, where applicable, receipt of payment in cleared funds.
A registration or application shall not be deemed confirmed unless and until it has been formally approved by the Organizer and, where required, confirmed through official communication or issuance of credentials.
7.6 Incomplete or Deficient ApplicationsApplications or registrations that are incomplete, inaccurate, inconsistent, or submitted without the required documentation may be rejected, delayed, or returned for correction at the sole discretion of the Organizer.
The Organizer shall not be under any obligation to process or consider incomplete submissions.
7.7 Discretion of the OrganizerThe Organizer reserves the right, at its reasonable discretion, to approve or refuse any registration or application, without the obligation to provide detailed justification, subject to applicable laws.
Such discretion may be exercised in consideration of eligibility, capacity, suitability, compliance, alignment with Festival objectives, or any other relevant factors.
7.8 No Guarantee of AcceptanceSubmission of a registration or application, whether complete or otherwise, shall not guarantee acceptance, approval, or participation in the Festival or any of its Events.
Participants acknowledge that acceptance is conditional and subject to the Organizer’s approval process.
7.9 Conditional and Ongoing ValidityApproval of registration or participation may be subject to ongoing compliance with these Terms and any applicable requirements.
The Organizer reserves the right to revoke or amend approval where conditions are no longer satisfied or where new information arises that affects eligibility or compliance.
8. PARTICIPANT CATEGORIES
8.1 General ClassificationFor the purposes of administration, organization, and participation management, the Festival recognizes multiple categories of Participants. These categories are established to reflect the diverse nature of involvement across the Festival’s events and activities.
Participants shall be classified into one or more categories based on the nature of their registration, role, or approved participation.
8.2 Categories of ParticipationThe categories of Participants may include, but are not limited to, the following:
· Delegates – individuals attending for learning, networking, professional engagement, or general participation;
· Contestants – individuals participating in competitions, pageants, talent showcases, or award-based programs;
· Exhibitors – entities or individuals presenting products, services, innovations, or materials within exhibitions or trade showcases;
· Sponsors – entities providing financial, material, or strategic support in exchange for agreed recognition or benefits;
· Speakers – individuals delivering presentations, lectures, panels, or knowledge-sharing contributions;
· Performers – individuals or groups presenting artistic, cultural, musical, or creative performances;
· Media Representatives – accredited individuals or organizations responsible for reporting, documenting, or broadcasting Festival activities;
· Strategic Partners – organizations formally collaborating with the Organizer in the planning, implementation, or promotion of the Festival;
· Trade Representatives – participants involved in business, trade, investment, or commercial engagements within the Festival framework;
· Institutional Representatives – participants representing governmental bodies, educational institutions, non-governmental organizations, or other formal institutions;
· Visitors / Guests – individuals attending the Festival on an invitation or general access basis without a formal participation role; and
· Online Participants – individuals engaging with the Festival through digital platforms, virtual sessions, or remote access systems.
8.3 Multi-Category ParticipationA Participant may fall under more than one category simultaneously, depending on their roles and activities within the Festival.
In such cases, the Participant shall comply with all applicable obligations and requirements associated with each relevant category.
8.4 Category DeterminationThe classification of Participants into specific categories shall be determined by the Organizer based on the nature of the Participant’s registration, application, approval, and intended involvement.
The Organizer reserves the right to assign, modify, or reclassify Participant categories where necessary for administrative, operational, or compliance purposes.
8.5 Category-Specific ConditionsCertain categories may be subject to additional conditions, requirements, privileges, or restrictions, as defined in applicable Event-Specific Terms or operational guidelines.
Participants acknowledge that such category-specific conditions form part of their participation obligations and must be complied with accordingly.
9. REGISTRATION PACKAGES, ACCESS RIGHTS AND INCLUSIONS
9.1 Available Package CategoriesThe Organizer shall design, structure, and make available a range of registration packages, participation tiers, access credentials, and structured offerings (collectively referred to as “Packages”) for participation in the Festival.
Such Packages shall define the level, scope, and nature of participation permitted and may vary across Events, categories, and participant types.
The available Package categories may include, but shall not be limited to:
- standard participation packages;
- professional or premium packages;
- VIP or executive packages;
- government or institutional packages;
- exhibitor packages;
- sponsor-linked packages;
- competition-specific or program-specific packages;
- digital or virtual participation packages; and
- any other category determined and introduced by the Organizer.
Each Package shall be defined by the Organizer in terms of:
- scope of access;
- eligibility requirements (if applicable);
- benefits and inclusions;
- limitations and restrictions;
- pricing and conditions of purchase.
The Organizer reserves the right, at its sole discretion and at any time, to:
- introduce new Package categories;
- modify or restructure existing Packages;
- limit the number of available Packages;
- allocate Packages based on capacity, selection, or operational requirements; and
- withdraw or suspend any Package category without prior notice where necessary.
Participants acknowledge that Package availability is subject to limitation and is not guaranteed.
9.2 Package BenefitsEach Package shall include a defined set of benefits, privileges, and participation rights as determined and communicated by the Organizer through official Festival channels.
Such benefits may include, without limitation:
- access to specific Events, sessions, or Festival components;
- eligibility to participate in designated programs, activities, or competitions;
- entry to official networking functions, ceremonies, or side events;
- access to digital platforms, content, or materials;
- visibility or participation opportunities where applicable.
All Package benefits are provided strictly subject to:
- availability and capacity limitations;
- compliance with these Terms and all applicable Festival rules;
- operational feasibility and scheduling;
- safety, security, and venue requirements.
The Organizer shall not be obligated to guarantee availability of specific sessions, seating, or experiences where capacity is exceeded.
9.3 Access LimitationsAccess to Festival activities, venues, platforms, and services shall be strictly limited to the entitlements associated with the Participant’s approved Package.
Participants shall:
- only access Events, sessions, or areas expressly included in their Package;
- comply with all access control measures implemented by the Organizer;
- not attempt to access restricted or unauthorized areas.
The Organizer reserves the right to:
- regulate entry to venues and digital platforms;
- enforce capacity limits;
- restrict or deny access to specific sessions based on demand, security, or operational needs;
- require additional approvals, bookings, or confirmations for certain activities.
No Participant shall have an automatic right to access all Festival activities solely by virtue of holding a Package.
9.4 Package-Specific EntitlementsEach Package shall carry specific entitlements, privileges, conditions, and limitations unique to that Package category.
Participants acknowledge and agree that:
- entitlements are conditional upon compliance with these Terms;
- entitlements may differ across Events and participant categories;
- certain benefits may be subject to scheduling, confirmation, or qualification processes;
- entitlements may be non-transferable, non-exchangeable, and non-refundable unless expressly stated.
The Organizer reserves the right to reasonably adjust, substitute, or modify Package inclusions where required due to:
- operational constraints;
- program changes;
- availability limitations;
- safety or compliance requirements.
Such adjustments shall not constitute a breach of these Terms.
9.5 Badges, Passes and Digital CredentialsParticipants shall be issued with official badges, passes, identification credentials, or digital access authorizations corresponding to their approved Package and participation category.
Such credentials:
- are issued solely to the registered Participant;
- are personal, non-transferable, and non-assignable;
- remain the property of the Organizer at all times;
- must be used strictly in accordance with Organizer instructions;
- must be presented, worn, or authenticated when required for access.
Participants shall:
- safeguard credentials against loss, theft, or misuse;
- immediately report any unauthorized use;
- not alter, duplicate, or tamper with credentials.
The Organizer reserves the right to:
- deactivate, suspend, confiscate, or invalidate credentials;
- deny access where misuse is detected;
- require re-verification of identity or registration.
9.6 No Transfer Except Where Expressly AllowedPackages, passes, badges, and credentials shall not be transferred, reassigned, substituted, or otherwise provided to any third party unless expressly permitted by the Organizer in writing.
Where transfer is permitted, it shall:
- be subject to specific procedures and timelines;
- require approval by the Organizer;
- be conditional upon compliance with all applicable requirements.
Any unauthorized transfer shall be deemed a material breach of these Terms.
9.7 No ResalePackages and associated credentials shall not be resold, auctioned, exchanged for value, or otherwise used for commercial gain.
Participants are strictly prohibited from:
- offering Packages for resale;
- transferring access for profit;
- engaging in unauthorized ticketing or distribution activities.
Any breach of this provision may result in:
- cancellation of participation;
- forfeiture of all fees paid;
- denial of access;
- potential legal action where applicable.
9.8 No Unauthorized SharingPackages, credentials, and access rights shall not be shared, duplicated, copied, or used by any person other than the registered Participant.
This includes:
- sharing login credentials for digital platforms;
- allowing another person to use a badge or pass;
- creating duplicate access credentials.
Unauthorized sharing shall constitute a serious breach and may result in immediate enforcement action.
9.9 No Guarantee of Results, Awards, Meetings, Visas, Exposure, Sponsorship, Contracts or Business OutcomesParticipation in the Festival, and any benefits associated with a Package, shall not create, imply, or guarantee any specific outcome.
Without limitation, Packages do not guarantee:
- awards, titles, rankings, or recognition;
- selection, qualification, or advancement in competitions;
- business meetings, partnerships, or networking outcomes;
- visa approval, immigration clearance, or travel authorization;
- media exposure, publicity, or promotional coverage;
- sponsorship, funding, or financial support;
- contracts, employment, or commercial agreements;
- any professional, financial, or personal success.
Participants acknowledge that all outcomes are dependent on independent processes, merit-based evaluations, third-party decisions, and external factors beyond the control of the Organizer.
10. PRICES, PAYMENT AND CURRENCY
10.1 Fees and Official CurrencyAll fees, charges, and financial obligations associated with registration, participation, Packages, services, or any other Festival-related offerings (collectively referred to as “Fees”) shall be stated and payable in the official currency determined by the Organizer.
The Organizer reserves the right, at its sole discretion, to:
- designate the applicable currency or currencies for payment;
- require payment in a specified currency regardless of the Participant’s country of origin;
- adjust or convert pricing into alternative currencies where necessary for operational or commercial purposes.
Where currency conversion is required, the applicable exchange rate shall be determined by the relevant financial institution or payment provider, and the Organizer shall not be responsible for any discrepancies, fluctuations, or additional costs arising from such conversions.
10.2 Payment MethodsPayments shall be made through the authorized methods specified by the Organizer, which may include, but are not limited to:
- credit or debit card payments processed through secure payment gateways;
- bank transfers to designated accounts provided by the Organizer;
- online payment systems or digital payment platforms approved by the Organizer;
- any other method communicated and authorized by the Organizer.
Participants shall ensure that all payment instructions are accurately completed and that all required authorizations, confirmations, and supporting information are provided.
The Organizer reserves the right to refuse or reject any payment method that does not comply with its requirements or that presents operational, security, or compliance risks.
10.3 Payment Obligations and Due DatesParticipants shall be required to make full payment of all applicable Fees within the deadlines specified by the Organizer.
Payment obligations shall arise at the time of:
- submission of a registration or application where payment is required;
- confirmation of a Package or participation slot; or
- issuance of an invoice or payment instruction by the Organizer.
Failure to meet payment deadlines may result in:
- suspension or cancellation of registration;
- withdrawal of provisional approval or participation rights;
- forfeiture of reserved slots or opportunities;
- reallocation of participation to other applicants.
The Organizer shall have no obligation to hold or reserve participation slots pending delayed or incomplete payment.
10.4 Taxes, Duties and Government ChargesAll Fees are exclusive of applicable taxes, duties, levies, or governmental charges unless expressly stated otherwise.
Participants shall be solely responsible for:
- the payment of any applicable taxes, including value-added tax (VAT), goods and services tax (GST), withholding tax, or similar charges;
- compliance with tax obligations within their own jurisdiction;
- any additional charges imposed by financial institutions or regulatory authorities.
The Organizer shall not be responsible for advising Participants on tax liabilities or for absorbing any such costs.
10.5 Bank Charges and Currency Exchange CostsParticipants shall bear all bank charges, transaction fees, processing costs, intermediary bank fees, and currency exchange costs associated with their payments.
Where payment is made via bank transfer or cross-border transaction, Participants must ensure that:
- the full invoiced amount is received by the Organizer without deduction;
- all bank charges are paid by the Participant;
- any shortfall resulting from deductions is promptly settled.
Failure to cover such charges may result in incomplete payment, and the Organizer reserves the right to treat such payments as outstanding until the full amount is received.
10.6 Payment Confirmation and Validity of RegistrationWhere payment is required, registration, participation approval, or Package allocation shall not be considered valid or confirmed unless and until the full payment has been received by the Organizer in cleared funds.
The Organizer reserves the right to:
- withhold confirmation of registration;
- delay issuance of badges, passes, or credentials;
- restrict access to Festival activities;
- cancel or suspend participation,
until such time as payment obligations have been fully satisfied.
Any provisional confirmation issued prior to receipt of payment shall not constitute a binding confirmation of participation.
10.7 Price Adjustments Prior to ConfirmationThe Organizer reserves the right to modify, revise, or adjust the pricing of Packages, services, or participation fees at any time prior to confirmation of registration.
In circumstances where pricing is adjusted before confirmation:
- the Participant may be notified of the revised price;
- the Participant may be required to confirm acceptance of the revised pricing;
- failure to accept the revised pricing may result in cancellation of the pending registration.
Once registration has been confirmed and payment received, the agreed price shall generally remain fixed, subject to any applicable adjustments permitted under these Terms.
10.8 Late Payment ConsequencesFailure to make payment within the specified timeframe shall constitute non-compliance with payment obligations and may result in one or more of the following actions:
- cancellation of registration or application;
- forfeiture of reserved participation slots;
- loss of access to selected Packages or benefits;
- reallocation of participation opportunities to other applicants;
- requirement to reapply or re-register under new conditions;
- imposition of additional administrative or reinstatement requirements where applicable.
The Organizer shall not be liable for any loss, inconvenience, or consequence arising from such cancellation or forfeiture.
10.9 Failed, Declined or Reversed PaymentsIn the event that any payment is:
- declined by the payment provider;
- unsuccessful due to insufficient funds or technical issues;
- reversed, disputed, or subject to chargeback; or
- otherwise not received in cleared funds,
the Organizer reserves the right to:
- suspend or terminate the Participant’s registration or access;
- revoke any previously granted approvals or entitlements;
- deactivate credentials or access rights;
- require immediate settlement of outstanding amounts;
- impose additional verification or payment conditions prior to reinstatement.
Participants shall remain fully liable for any unpaid amounts and any costs incurred by the Organizer in recovering such amounts, to the extent permitted by law.
11. REFUND, CANCELLATION, TRANSFER AND SUBSTITUTION POLICY
11.1 General Non-Refundable PolicyAll payments made in connection with the Festival, including but not limited to registration fees, Package fees, participation fees, service fees, or any other charges, are strictly non-refundable under all circumstances, except where expressly required by Applicable Law.
Participants acknowledge and agree that, upon submission of payment and confirmation of registration, all amounts paid shall be considered final, irrevocable, and non-recoverable.
No refunds, reimbursements, credits, or offsets shall be granted for any reason, including but not limited to cancellation, withdrawal, non-attendance, or inability to participate.
11.2 Non-AttendanceNo refund, credit, or compensation shall be provided in the event that a Participant fails to attend the Festival or any of its Events, whether in whole or in part.
This shall apply irrespective of the reason for non-attendance, including but not limited to:
- personal circumstances;
- scheduling conflicts;
- travel delays or disruptions;
- failure to secure transportation;
- or any other circumstance beyond or within the Participant’s control.
11.3 Visa RefusalNo refunds, credits, or compensation shall be granted in the event of visa refusal, delay, denial, or any immigration-related issue.
Participants acknowledge that:
- visa application and approval processes are independent of the Organizer;
- the Organizer does not guarantee visa approval;
- participation is undertaken at the Participant’s own risk in relation to immigration matters.
11.4 Travel DisruptionThe Organizer shall not be responsible for any travel-related disruptions, including but not limited to:
- flight cancellations or delays;
- border closures or entry restrictions;
- transportation failures;
- quarantine requirements;
- or any other travel-related issues.
No refunds, credits, or compensation shall be provided in such circumstances.
11.5 Personal CircumstancesNo refunds shall be provided due to personal circumstances of any nature, including but not limited to:
- illness or medical conditions;
- family emergencies;
- financial difficulties;
- work or business commitments;
- changes in personal plans.
Participants acknowledge that they assume full responsibility for managing their personal circumstances in relation to their participation.
11.6 Transfer and SubstitutionTransfer or substitution of participation may only be permitted where expressly allowed by the Organizer and subject to strict compliance with applicable procedures, conditions, and timelines.
Where permitted:
- prior written approval from the Organizer shall be required;
- all eligibility requirements must be satisfied by the substitute Participant;
- the Organizer may refuse transfer requests at its discretion.
Transfer shall not entitle the Participant to any refund or financial adjustment.
11.7 Name ChangesName changes may be permitted only where expressly allowed by the Organizer and subject to:
- submission within specified timelines;
- completion of required documentation;
- verification of the replacement Participant;
- compliance with all applicable conditions.
The Organizer reserves the right to approve or reject any name change request.
11.8 Administrative FeesThe Organizer reserves the right to impose administrative fees in relation to:
- transfer requests;
- substitution requests;
- name changes;
- or any other permitted modification.
Such fees shall be determined by the Organizer and must be paid prior to approval of the requested change.
11.9 Package DowngradesRequests to downgrade a Package may be considered at the discretion of the Organizer.
However, any such downgrade:
- shall not entitle the Participant to any refund, credit, or reimbursement;
- shall not result in any adjustment of fees already paid;
- shall be subject to applicable administrative conditions.
11.10 Cut-Off DatesThe Organizer reserves the right to establish and enforce strict cut-off dates for:
- transfers;
- substitutions;
- name changes;
- or any permitted modifications.
Requests submitted after such deadlines may be refused without exception.
11.11 Absolute No Refund Policy AcknowledgmentBy registering for and participating in the Festival, each Participant expressly acknowledges and agrees that:
- all payments are strictly non-refundable;
- no exceptions shall apply except where required by law;
- participation is undertaken entirely at the Participant’s own risk in relation to financial commitments.
Participants further confirm that they have read, understood, and accepted the no refund policy in its entirety prior to making any payment.
12. FESTIVAL CHANGES, RESCHEDULING, POSTPONEMENT OR CANCELLATION
12.1 Organizer’s Right to Modify FestivalThe Organizer reserves the full and unrestricted right, at its sole discretion and at any time, to make changes to any aspect of the Festival where such changes are considered necessary, appropriate, or beneficial for operational, logistical, strategic, safety, or compliance purposes.
Without limitation, the Organizer may:
- change the dates of the Festival or any Event;
- change the venue or location of the Festival or any Event;
- change the format of the Festival, including converting physical Events to digital or hybrid formats;
- change the schedule, timing, sequence, or duration of any Event or activity;
- change, replace, or remove speakers, judges, artists, facilitators, moderators, performers, or any program contributors;
- modify or restructure the programme, agenda, or content of any Event;
- merge, combine, split, or restructure sessions, Events, or activities;
- move any part of the Festival to online or virtual platforms;
- modify access arrangements, participation conditions, or delivery methods.
Such changes may be made without prior notice where reasonably necessary.
12.2 Operational and Program AdjustmentsParticipants acknowledge that the Festival is a large-scale, multi-event international platform, and that adjustments to programming, logistics, or delivery may be required.
The Organizer shall have the right to implement changes to:
- session formats and structures;
- Event sequencing and timelines;
- participation arrangements;
- venue allocation and capacity;
- technical or digital delivery systems.
Such adjustments shall not constitute a breach of these Terms.
12.3 Postponement of the FestivalThe Organizer reserves the right to postpone the Festival, in whole or in part, to a later date where circumstances require such action.
In the event of postponement:
- the Festival may be rescheduled to a new date or timeframe;
- the structure, format, or delivery of the Festival may be adjusted accordingly;
- Participants may be required to comply with updated schedules or arrangements.
Where the Festival is postponed, the Organizer may, at its sole discretion, transfer a Participant’s registration to:
- the rescheduled Festival dates; or
- a future edition of the Festival.
Participants shall not be entitled to any refund or compensation in connection with such postponement.
12.4 Cancellation of the FestivalThe Organizer reserves the right to cancel the Festival, in whole or in part, where it is deemed necessary due to operational, commercial, regulatory, safety, or external circumstances.
In the event of cancellation:
- the Organizer may determine appropriate alternative arrangements, including transfer of participation to a future edition;
- Participants shall not be entitled to refunds, compensation, or damages, except where required by Applicable Law.
12.5 No Liability for Additional Costs or LossesParticipants expressly acknowledge and agree that the Organizer shall not be liable for any additional costs, losses, or expenses incurred in connection with any change, postponement, or cancellation of the Festival.
This includes, without limitation:
- travel costs, including flights or transportation;
- accommodation costs;
- visa application fees or immigration-related expenses;
- logistical or operational costs;
- business losses, missed opportunities, or commercial impacts;
- personal or professional losses arising from participation.
Participants assume full responsibility for such risks.
12.6 No Right to Claim DamagesTo the fullest extent permitted by law, Participants shall not be entitled to claim damages, compensation, reimbursement, or any form of financial recovery arising from:
- changes to the Festival;
- rescheduling or postponement;
- cancellation;
- or modification of any aspect of the Festival.
13. PASSES, BADGES, CREDENTIALS AND ACCESS CONTROL
13.1 Ownership of CredentialsAll badges, passes, identification credentials, and digital access authorizations issued for the Festival (collectively referred to as “Credentials”) shall remain the sole property of the Organizer at all times.
Participants are granted a limited, revocable right to use such Credentials strictly for the purpose of accessing and participating in the Festival in accordance with these Terms.
13.2 Mandatory Use of CredentialsParticipants shall be required to:
- wear badges or display Credentials at all times when attending physical Festival venues;
- present or authenticate Credentials upon request by authorized personnel;
- use Credentials in accordance with instructions issued by the Organizer.
Failure to comply with these requirements may result in denial of access or removal from the Festival.
13.3 Misuse of CredentialsAny misuse of Credentials shall constitute a serious breach of these Terms.
Misuse includes, but is not limited to:
- unauthorized transfer or sharing;
- alteration, defacement, or duplication;
- use by a person other than the registered Participant;
- use for unauthorized access or fraudulent purposes.
The Organizer reserves the right to:
- confiscate Credentials;
- deactivate access;
- remove the Participant from the Festival;
- take further enforcement action where appropriate.
13.4 Lost or Stolen CredentialsParticipants are solely responsible for safeguarding their Credentials.
In the event that a Credential is lost or stolen:
- the Participant must notify the Organizer immediately;
- replacement may be issued at the Organizer’s discretion;
- administrative procedures or fees may apply;
- the Organizer shall not be liable for any misuse prior to notification.
13.5 Prohibition of Fraudulent DuplicationThe duplication, reproduction, counterfeiting, or unauthorized creation of Credentials is strictly prohibited.
Any such act shall be treated as fraud and may result in:
- immediate removal from the Festival;
- cancellation of participation rights;
- forfeiture of all payments;
- referral to relevant authorities where applicable.
13.6 Access Control and RestrictionsAccess to all Festival venues, sessions, platforms, and activities shall be subject to:
- capacity limitations;
- security requirements;
- operational considerations;
- category of participation and Package entitlements.
The Organizer reserves the right to:
- restrict or deny access to any area or session;
- implement security checks, identity verification, or screening procedures;
- regulate entry and movement within Festival venues.
13.7 Additional Approval RequirementsCertain sessions, Events, or activities may require additional approval, registration, or confirmation beyond possession of a Credential.
Participants acknowledge that:
- access to such sessions is not guaranteed;
- priority may be given based on capacity, category, or selection criteria;
- failure to secure additional approval may result in inability to access specific activities.
14. TRAVEL, VISA, IMMIGRATION AND ENTRY RESPONSIBILITY
14.1 Participant Responsibility for Travel and Immigration ComplianceAll Participants shall bear full and sole responsibility for arranging, securing, and maintaining all travel and immigration requirements necessary to attend and participate in the Festival.
This responsibility includes, without limitation:
- obtaining valid passports and ensuring their validity for the required duration;
- securing visas, entry permits, transit visas, or any other immigration authorizations;
- complying with all entry, exit, and transit requirements applicable to their journey;
- fulfilling vaccination, health clearance, or medical certification requirements;
- obtaining travel insurance, health insurance, and any other required coverage;
- ensuring compliance with all immigration laws, regulations, and policies applicable in Australia and any transit or departure jurisdictions.
Participants shall ensure that all documentation is accurate, complete, and valid prior to travel.
14.2 No Guarantee of Visa or Entry ApprovalAny invitation letters, support letters, confirmation documents, or other materials issued by the Organizer are provided solely for facilitation purposes and shall not constitute any form of guarantee, assurance, or representation that:
- a visa will be granted;
- entry into the host country will be permitted;
- immigration clearance will be obtained.
All decisions relating to visa approval, entry authorization, or immigration status shall remain solely within the jurisdiction and discretion of the relevant governmental and immigration authorities.
14.3 No Liability of the OrganizerThe Organizer shall not be liable, under any circumstances, for any issues arising in relation to travel or immigration matters, including but not limited to:
- refusal, denial, or rejection of visa applications;
- delays in visa processing;
- cancellation or revocation of visas;
- refusal of entry at borders or points of entry;
- deportation or removal from the host country;
- transit restrictions or entry denials in third countries;
- changes in immigration policies or government regulations.
Participants acknowledge that such matters are beyond the control of the Organizer and accept full responsibility for all associated risks.
14.4 Obligation to Apply EarlyParticipants are strongly advised and expected to apply for visas and complete all travel arrangements well in advance of the Festival dates.
The Organizer shall not be responsible for any inability to participate resulting from late applications, incomplete documentation, or failure to meet immigration timelines.
14.5 Financial Responsibility for TravelAll travel-related expenses shall be borne solely by the Participant unless expressly stated otherwise in writing by the Organizer.
Such expenses include, without limitation:
- airfare and transportation costs;
- accommodation and local travel expenses;
- visa application fees and related charges;
- insurance costs;
- any other travel-related expenditure.
Participants acknowledge that no reimbursement, compensation, or financial support shall be provided by the Organizer in relation to such expenses unless expressly agreed.
15. ACCOMMODATION, TRANSPORT AND THIRD-PARTY SERVICES
15.1 Arrangement of Accommodation and TransportAccommodation, transport, and related logistical services may be arranged by Participants independently or facilitated through third-party providers, including those recommended or coordinated by the Organizer.
Where the Organizer provides information, referrals, or coordination assistance, such involvement shall be limited to facilitation and shall not constitute direct provision of services unless expressly stated.
15.2 Nature of Support PackagesAny accommodation or transport support packages offered by the Organizer shall be deemed coordination and facilitation services unless explicitly specified otherwise.
Participants acknowledge that:
- such packages do not constitute direct ownership, operation, or control of accommodation or transport services by the Organizer;
- services may be delivered by third-party providers under separate agreements.
15.3 Third-Party Service ProvidersAccommodation, transport, and related services may be provided by independent third-party service providers.
Participants acknowledge that:
- such providers operate independently of the Organizer;
- any contractual relationship for such services shall be between the Participant and the relevant provider;
- the Organizer shall not be responsible for the performance, quality, availability, or conduct of such providers.
15.4 No Liability for Third-Party FailuresThe Organizer shall not be liable for any loss, damage, inconvenience, or disruption arising from:
- failure of accommodation providers;
- transportation delays or cancellations;
- service deficiencies or operational issues;
- acts or omissions of third-party providers.
Participants accept that all third-party services are used at their own risk.
15.5 Availability Not GuaranteedThe Organizer does not guarantee the availability of accommodation, transport, or related services.
Participants are responsible for securing their arrangements in a timely manner and shall not rely solely on any indicative or facilitative support provided.
15.6 Participant ResponsibilityParticipants shall remain fully responsible for:
- all costs associated with accommodation and transport;

- any damages, losses, or liabilities arising from their actions.
16. CODE OF CONDUCT, BEHAVIOUR AND ETHICAL STANDARDS
16.1 General Standard of ConductAll Participants shall conduct themselves in a professional, respectful, lawful, and responsible manner at all times during their involvement in the Festival.
Participants shall act in a manner that upholds the integrity, safety, and reputation of the Festival and all persons associated with it.
16.2 Compliance with Organizer InstructionsParticipants shall comply fully and promptly with all reasonable instructions, directives, and decisions issued by the Organizer, its representatives, or authorized personnel.
Failure to comply may result in removal, suspension, or other enforcement actions.
16.3 Compliance with Venue RulesParticipants shall comply with all rules, policies, and requirements applicable to any Festival venue, including:
- safety regulations;
- security procedures;
- operational guidelines;
- any conditions imposed by venue operators or authorities.
16.4 Compliance with LawsParticipants shall comply with all applicable laws and regulations of Australia, including those applicable within South Australia.
Any violation of such laws may result in immediate removal from the Festival and referral to relevant authorities.
16.5 Prohibited ConductParticipants shall not engage in any conduct that is unlawful, inappropriate, harmful, or inconsistent with the standards of the Festival.
Prohibited conduct includes, without limitation:
- harassment in any form;
- discrimination based on race, gender, religion, nationality, or any protected characteristic;
- intimidation, threats, or coercion;
- physical or verbal violence;
- hate speech or offensive language;
- abusive, insulting, or degrading behavior;
- disruptive conduct that interferes with Festival activities;
- any conduct that may harm the reputation of the Festival or its stakeholders.
16.6 Respect for Festival ValuesParticipants shall respect and uphold the values, mission, vision, and international character of the Festival and the Organizer.
Participants shall conduct themselves in a manner consistent with the principles and objectives of the Festival.
16.7 Faith-Based and Gospel-Centered ValuesWhere applicable, Participants shall respect the faith-based and gospel-centered values that form part of the identity of certain Festival events and programs.
Participants shall not engage in conduct that undermines, disrespects, or contradicts such values within the context of the Festival.
16.8 Enforcement of Conduct StandardsThe Organizer reserves the right to take appropriate action in response to any breach of this section, including:
- warnings or corrective measures;
- restriction of access to certain activities;
- suspension or removal from the Festival;
- revocation of credentials or participation rights.
Such actions may be taken immediately and without prior notice where necessary.
17. HEALTH, SAFETY, SECURITY AND EMERGENCY COMPLIANCE
17.1 Compliance with Security Checks and Health InstructionsAll Participants shall fully comply with all security procedures, health requirements, and safety instructions implemented by the Organizer, venue authorities, or relevant regulatory bodies.
Such requirements may include, without limitation:
- identity verification procedures;
- bag inspections and security screenings;
- use of security detection systems or monitoring technologies;
- compliance with public health directives;
- adherence to hygiene, sanitation, or medical protocols;
- submission of health declarations or certifications where required.
Participants shall cooperate fully with all such measures and shall not obstruct, delay, or interfere with security or health procedures.
17.2 Organizer’s Right to Impose Safety ProtocolsThe Organizer reserves the right, at any time and without prior notice where necessary, to establish, implement, modify, or enforce safety and security protocols in order to ensure the protection of Participants, personnel, property, and the general public.
Such protocols may include, but are not limited to:
- access restrictions or crowd control measures;
- health and safety guidelines;
- emergency preparedness measures;
- movement control within venues;
- digital or physical monitoring systems.
Participants shall be required to comply with all such protocols as a condition of participation.
17.3 Participation at Own RiskParticipation in the Festival is undertaken at the Participant’s own risk, except to the extent that liability cannot be excluded or limited under Applicable Law.
Participants acknowledge that:
- attendance at large-scale international events may involve inherent risks;
- such risks may include, but are not limited to, accidents, injuries, health-related issues, or unforeseen incidents;
- the Organizer does not guarantee a risk-free environment.
Participants accept full responsibility for their personal safety and well-being during their involvement in the Festival.
17.4 Emergency ProceduresParticipants shall comply immediately and without hesitation with all emergency procedures, evacuation instructions, and safety directives issued by the Organizer, venue authorities, or emergency services.
This includes, but is not limited to:
- evacuation of premises when instructed;
- compliance with fire safety measures;
- adherence to emergency response protocols;
- cooperation with emergency personnel.
Failure to comply with emergency instructions may endanger lives and shall constitute a serious breach of these Terms.
17.5 Prohibited and Restricted ItemsParticipants shall not bring into Festival venues any items that are prohibited, restricted, or deemed unsafe by the Organizer or relevant authorities.
Such items may include, without limitation:
- weapons or hazardous materials;
- illegal substances;
- items posing safety or security risks;
- unauthorized equipment or devices.
The Organizer reserves the right to confiscate prohibited items and to deny entry or remove any Participant found in possession of such items.
17.6 Removal for Safety ReasonsThe Organizer reserves the right to deny entry to, or remove from the Festival, any Participant whose presence or conduct is considered to:
- pose a risk to safety or security;
- disrupt the orderly conduct of the Festival;
- violate safety protocols or emergency procedures.
Such action may be taken immediately and without prior notice where necessary.
18. COMPETITIONS, SELECTIONS, JUDGING AND AWARDS
18.1 Application of Event-Specific Competition RulesAll competitions, selection processes, judging systems, and award determinations conducted within the Festival shall be governed by Event-Specific Terms in addition to these Master Terms.
Participants acknowledge that:
- each competition or program may have its own rules, criteria, and procedures;
- compliance with both the Master Terms and Event-Specific Terms is mandatory.
18.2 Eligibility Verification and Ongoing ComplianceThe Organizer reserves the right to verify eligibility at any stage, including:
- prior to selection or participation;
- during the course of the Event;
- after results have been announced.
Participants may be required to provide documentation, evidence, or clarification to confirm their eligibility.
Failure to satisfy eligibility requirements may result in disqualification.
18.3 Judging Process and Decision AuthorityAll judging processes shall be conducted in accordance with the criteria, procedures, and standards established by the Organizer or designated judging panels.
Participants acknowledge that:
- judging decisions are based on established criteria and professional evaluation;
- decisions of judges and the Organizer shall be final and binding unless expressly stated otherwise.
18.4 No Automatic Right of AppealParticipants shall not have an automatic right to appeal, challenge, or dispute judging decisions, rankings, or outcomes.
Any review or reconsideration process, if available, shall be determined solely by the Organizer.
18.5 DisqualificationThe Organizer reserves the right to disqualify any Participant at any stage of a competition or program for reasons including, but not limited to:
- failure to meet eligibility requirements;
- breach of these Terms or Event-Specific Terms;
- misconduct or violation of the Code of Conduct;
- submission of false or misleading information;
- fraud, cheating, or unethical behavior.
Disqualification may occur before, during, or after the Event.
18.6 Awards, Titles and RecognitionAll awards, titles, placements, recognitions, and honors granted within the Festival shall remain subject to ongoing compliance with these Terms.
The Organizer reserves the right to:
- withhold awards or titles;
- revoke or withdraw recognition;
- amend results where necessary.
Participants acknowledge that awards and titles do not confer any permanent rights and remain conditional.
19. SPONSORSHIP, EXHIBITION, TRADE AND COMMERCIAL PARTICIPATION
19.1 Sponsor and Exhibitor ObligationsSponsors and exhibitors shall comply with all obligations established by the Organizer, including but not limited to:
- adherence to contractual agreements;
- compliance with operational guidelines;
- fulfillment of branding and participation requirements;
- adherence to safety, legal, and ethical standards.
19.2 Booth and Display ComplianceExhibitors shall ensure that all booths, displays, and materials:
- comply with venue requirements and safety regulations;
- meet the specifications and standards established by the Organizer;
- do not obstruct access, create hazards, or disrupt operations.
The Organizer reserves the right to require modifications or removal of any non-compliant setup.
19.3 Safety and Branding RulesAll commercial participants shall adhere to safety protocols and branding guidelines issued by the Organizer.
Participants shall ensure that:
- materials are safe, lawful, and appropriate;
- branding complies with approved formats and placements;
- no misleading or unauthorized representations are made.
19.4 Prohibition of Unauthorized Selling or DistributionParticipants shall not engage in unauthorized selling, distribution, or promotion of goods or services outside the scope of their approved participation.
All commercial activity must be approved by the Organizer.
19.5 No Conflicting Commercial ActivityParticipants shall not engage in any commercial activity that conflicts with, competes with, or undermines the Festival or its official partners.
This includes organizing parallel or competing events without authorization.
19.6 Organizer Branding RulesThe use of Festival branding, including names, logos, trademarks, and related materials, shall be strictly controlled by the Organizer.
Participants shall not use such branding without prior written approval.
19.7 Prohibition of Parasitic MarketingParticipants shall not engage in any form of parasitic marketing, including:
- unauthorized association with the Festival;
- exploitation of Festival goodwill;
- misleading representations of affiliation.
19.8 Protection of Festival Name and GoodwillParticipants shall not use the Festival name, logos, or reputation in any manner that is unauthorized, misleading, or detrimental to the Organizer.
Any breach may result in enforcement action, including removal from the Festival.
20. MEDIA, PUBLICITY, FILMING AND PHOTOGRAPHY
20.1 Filming and Photography at the FestivalParticipants acknowledge and agree that filming, photography, audio recording, live streaming, and other forms of media capture may take place throughout the Festival.
Such recording activities may be conducted by:
- the Organizer;
- Official Partners;
- accredited media representatives;
- authorized third-party production teams.
Filming and photography may occur in all areas of the Festival, including but not limited to Event venues, stages, networking spaces, exhibition areas, and digital environments.
Participants shall be deemed to have consented to such recording by their presence and participation in the Festival.
20.2 Capture of Participant Image, Voice and ContributionsParticipation in the Festival may result in the capture of a Participant’s:
- image or likeness;
- voice or audio presence;
- statements, interviews, or communications;
- performances, presentations, or appearances;
- creative or professional contributions;
- participation in Events, activities, or interactions.
Such captured materials (collectively referred to as “Participant Contributions”) may be recorded in any format, including photographic, audio, video, or digital media.
20.3 Grant of Rights to the OrganizerEach Participant hereby grants to the Organizer a worldwide, irrevocable, perpetual, non-exclusive, royalty-free, transferable, and sublicensable license to:
- use, reproduce, record, publish, display, broadcast, distribute, and communicate Participant Contributions;
- edit, modify, adapt, enhance, translate, or create derivative works from such Contributions;
- incorporate such Contributions into promotional, marketing, educational, archival, or commercial materials;
- make such Contributions available in any format or medium.
This license shall apply to all media now known or later developed, including but not limited to:
- print and digital publications;
- television and broadcasting platforms;
- websites, mobile applications, and digital platforms;
- social media and online content channels;
- promotional and advertising materials.
20.4 Scope and Duration of RightsThe rights granted under this section shall:
- be valid globally and without territorial limitation;
- continue indefinitely without expiration;
- be exercisable by the Organizer and its authorized partners, affiliates, licensees, and successors.
Participants acknowledge that no additional consent or approval shall be required for the use of Participant Contributions within the scope of this license.
20.5 Waiver of Approval and Compensation RightsTo the fullest extent permitted by Applicable Law, Participants:
- waive any right to inspect, review, or approve the final form of any materials incorporating their Contributions;
- waive any right to receive compensation, royalties, or remuneration arising from the use of such Contributions;
- waive any moral rights or similar rights that may restrict the use of such Contributions.
21. INTELLECTUAL PROPERTY AND FESTIVAL CONTENT
21.1 Ownership of Festival Intellectual PropertyAll intellectual property rights associated with the Festival shall remain the exclusive property of the Organizer or its licensors.
This includes, without limitation:
- Festival names, titles, and branding;
- logos, trademarks, and visual identities;
- programme content, schedules, and formats;
- publications, materials, and documentation;
- audio, video, and digital recordings;
- graphics, designs, and creative assets;
- systems, platforms, and technological infrastructure.
Such intellectual property is protected under applicable laws and may not be used without authorization.
21.2 Restrictions on Use of Festival ContentParticipants shall not, without the prior written consent of the Organizer:
- reproduce, copy, or duplicate Festival Content;
- distribute, transmit, or share Content with third parties;
- upload or store Content in external systems or databases;
- record, photograph, or capture Content beyond permitted use;
- commercialize, sell, or exploit Content;
- adapt, modify, or create derivative works from Content;
- use Content in any manner that may infringe rights or damage the Festival’s reputation.
Unauthorized use of Festival Content shall constitute a breach of these Terms.
21.3 Restrictions on AI and Automated UseParticipants shall not:
- upload, input, or process Festival Content into artificial intelligence systems, machine learning models, or large language models;
- use automated tools, scraping technologies, or data extraction methods to capture or analyze Festival Content;
- exploit Content for training, development, or enhancement of AI systems without prior written consent.
Any such use is strictly prohibited unless expressly authorized.
21.4 Submitted Content and Event-Specific LicensingContent submitted by Participants as part of Event participation may be subject to additional licensing terms defined in Event-Specific Terms.
Participants acknowledge that such content may be used in accordance with:
- the requirements of the Event;
- promotional or operational needs of the Festival;
- applicable licensing provisions.
22. PARTICIPANT SUBMISSIONS, CREATIVE MATERIALS AND LICENSE TO ORGANIZER
22.1 Ownership of Submitted ContentAny content, materials, or works submitted by Participants in connection with the Festival (including but not limited to performances, recordings, documents, designs, or creative works) shall remain the property of the Participant unless otherwise specified.
Participants retain ownership of their original intellectual property rights in such submissions.
22.2 License Granted to OrganizerBy submitting content, each Participant grants the Organizer a worldwide, non-exclusive, royalty-free, transferable, and sublicensable license to:
- review, evaluate, and assess submitted materials;
- store, archive, and maintain records of submissions;
- display, present, and exhibit submissions during the Festival;
- reproduce, publish, and distribute submissions for Festival-related purposes;
- use submissions in promotional, marketing, or educational materials;
- create derivative works where necessary for operational or promotional use.
Such license shall apply for the duration necessary to fulfill the purposes of the Festival and its related activities.
22.3 Participant WarrantiesEach Participant represents and warrants that:
- they are the rightful owner of the submitted content or have obtained all necessary rights and permissions;
- the submission does not infringe any intellectual property or other rights of third parties;
- the content is lawful and does not contain prohibited or infringing material.
Participants shall be solely responsible for the legality and ownership of their submissions.
22.4 Indemnification for Submitted ContentParticipants agree to indemnify and hold harmless the Organizer, its affiliates, partners, and representatives from and against any claims, liabilities, damages, losses, or expenses arising from:
- infringement of intellectual property rights;
- unauthorized use of third-party content;
- breach of warranties provided in relation to submitted materials.
This obligation shall survive the conclusion of the Festival.
23. DIGITAL PLATFORMS, WEBSITE USE AND ONLINE ENGAGEMENT
23.1 Use of Digital PlatformsThe Organizer may provide access to digital platforms, websites, applications, portals, or online systems (collectively referred to as “Digital Platforms”) to facilitate registration, communication, participation, networking, content delivery, and engagement in connection with the Festival.
Participants shall use all Digital Platforms strictly in accordance with these Terms and any additional operational instructions issued by the Organizer.
23.2 Account SecurityWhere access to Digital Platforms requires the creation or use of an account, Participants shall be responsible for maintaining the security and integrity of their account.
Participants shall:
- ensure that all account information is accurate and up to date;
- maintain the confidentiality of login credentials;
- take all reasonable measures to prevent unauthorized access.
The Organizer shall not be responsible for any loss, damage, or unauthorized activity arising from failure to maintain account security.
23.3 Login ConfidentialityParticipants shall keep all usernames, passwords, access codes, and authentication credentials confidential at all times.
Participants shall not:
- share login credentials with any third party;
- permit multiple users to access a single account;
- disclose account information in a manner that compromises security.
Any activity conducted through a Participant’s account shall be deemed to have been conducted by that Participant.
23.4 Prohibition of Unauthorized AccessParticipants shall not attempt to gain unauthorized access to:
- Digital Platforms;
- restricted areas or systems;
- other user accounts;
- data, content, or infrastructure associated with the Festival.
Any unauthorized access or attempted access shall constitute a serious breach of these Terms.
23.5 Prohibition of Hacking or DisruptionParticipants shall not engage in any activity that may:
- disrupt, damage, or interfere with Digital Platforms;
- introduce viruses, malware, or harmful code;
- overload systems or networks;
- compromise security or integrity of systems.
Such conduct may result in immediate suspension of access and further action where applicable.
23.6 Prohibition of Spam or Harmful ActivityParticipants shall not use Digital Platforms to:
- send unsolicited communications or spam;
- distribute harmful, offensive, or unlawful content;
- engage in fraudulent, deceptive, or misleading practices;
- promote unauthorized products or services.
All use of Digital Platforms must be lawful, respectful, and consistent with the purposes of the Festival.
23.7 Online Networking BehaviourWhere Digital Platforms enable networking or interaction between Participants, all Participants shall:
- engage respectfully and professionally;
- avoid harassment, abuse, or inappropriate conduct;
- use networking features solely for legitimate engagement purposes;
- respect the privacy and rights of other Participants.
The Organizer reserves the right to monitor and regulate online interactions.
23.8 Digital Participation RequirementsDigital attendance or participation in the Festival may be subject to additional operational requirements, including:
- technical specifications or system compatibility;
- scheduled access times or session limits;
- authentication or identity verification processes.
Participants shall ensure that they meet such requirements in order to participate effectively.
23.9 Suspension of Digital AccessThe Organizer reserves the right to suspend, restrict, or terminate access to Digital Platforms where a Participant:
- breaches these Terms;
- engages in prohibited conduct;
- compromises system security or integrity;
- fails to comply with operational requirements.
Such action may be taken without prior notice where necessary.
24. DATA PROTECTION AND PRIVACY
24.1 Collection of Personal DataThe Organizer may collect personal data from Participants in connection with registration, participation, communication, and operation of the Festival.
Such data may include, without limitation:
- identification information;
- contact details;
- professional or organizational information;
- participation-related data.
24.2 Use of Registration DataPersonal data collected during registration may be used for purposes including:
- processing registrations and applications;
- managing participation and access;
- facilitating communication;
- delivering Festival services and activities.
Participants acknowledge that such use is necessary for the operation of the Festival.
24.3 Communication UseThe Organizer may use Participant contact information to send:
- important Festival updates;
- operational notices;
- program information;
- invitations or communications relevant to participation.
Participants may have options to manage communication preferences where applicable.
24.4 Networking and Listing FeaturesWhere applicable, the Organizer may provide networking or listing features that display limited Participant information to other Participants or authorized users.
Such information may include:
- name;
- organization;
- role or category;
- location.
Participants may be given the ability to manage their visibility in such features where operationally feasible.
24.5 Sharing of DataThe Organizer may share personal data with:
- Official Partners;
- service providers;
- venue operators;
- regulatory or governmental authorities,
where such sharing is reasonably necessary for the operation, security, compliance, or delivery of the Festival.
24.6 Privacy PolicyFurther details regarding data processing shall be governed by the Organizer’s Privacy Policy, which is incorporated into these Terms by reference.
Participants are encouraged to review the Privacy Policy to understand how their data is handled.
24.7 Participant RightsParticipants may have rights in relation to their personal data under Applicable Law, including rights to access, correct, or request deletion of data.
Such rights shall be exercised in accordance with applicable legal frameworks and subject to operational and legal limitations.
24.8 Data Security MeasuresThe Organizer shall take reasonable technical and organizational measures to protect personal data against:
- unauthorized access;
- loss or destruction;
- misuse or disclosure.
However, no system can guarantee absolute security.
24.9 International Data TransfersWhere necessary for the operation of the Festival, personal data may be transferred across international borders.
Participants acknowledge and consent to such transfers, subject to compliance with applicable legal requirements.
25. SANCTIONS, TRADE COMPLIANCE AND LEGAL RESTRICTIONS
25.1 Compliance with Sanctions and Legal RequirementsThe Organizer shall comply with all applicable sanctions laws, trade restrictions, embargoes, and regulatory requirements.
The Organizer reserves the right to refuse, suspend, or terminate participation where such participation would violate any applicable legal obligations.
25.2 Participant Confirmation of ComplianceParticipants represent and warrant that:
- they are not subject to any sanctions, restrictions, or prohibitions under applicable laws;
- they are legally permitted to participate in the Festival;
- their participation does not violate any legal or regulatory requirements.
25.3 Organizer’s Right to Refuse or Terminate ServicesThe Organizer may refuse to accept registration, or may terminate participation, where:
- legal or regulatory restrictions apply;
- participation would expose the Organizer to compliance risk;
- required information or documentation is not provided.
25.4 Compliance ChecksThe Organizer reserves the right to conduct compliance checks, including verification of:
- identity;
- organizational affiliations;
- regulatory status;
- compliance with applicable laws.
Participants shall cooperate fully with such checks.
26. COMPETITION LAW / ANTITRUST COMPLIANCE
26.1 Obligation to Comply with Competition LawsAll Participants shall comply fully with all applicable competition laws, antitrust laws, and fair trade regulations in every jurisdiction relevant to their participation in the Festival.
Participants acknowledge that the Festival brings together individuals, businesses, institutions, and stakeholders from multiple jurisdictions and industries, and that strict adherence to competition law is essential to ensure lawful and ethical engagement.
26.2 Prohibition on Exchange of Commercially Sensitive InformationParticipants shall not, under any circumstances, exchange, disclose, or discuss commercially sensitive information with other Participants or third parties in a manner that may violate competition or antitrust laws.
Such commercially sensitive information includes, but is not limited to:
- pricing strategies or pricing structures;
- cost information or profit margins;
- business strategies or market positioning;
- customer or supplier lists;
- confidential commercial terms or negotiations;
- production levels, supply arrangements, or distribution strategies.
Participants shall exercise caution in all discussions and interactions to ensure compliance with applicable laws.
26.3 Prohibition on CollusionParticipants shall not engage in any form of collusion, agreement, or coordinated conduct with other Participants or third parties that may restrict, distort, or prevent competition.
This includes, without limitation:
- agreements to fix prices or fees;
- agreements to divide markets or customers;
- agreements to limit production or supply;
- coordinated bidding or tendering practices.
Any such conduct is strictly prohibited and may result in legal consequences under applicable laws.
26.4 Prohibition on Anti-Competitive BehaviourParticipants shall not engage in any conduct that may be considered anti-competitive, including but not limited to:
- abuse of dominant position;
- exclusionary practices;
- unfair competition practices;
- manipulation of market conditions.
Participants shall ensure that all interactions within the Festival environment remain lawful and compliant.
26.5 Prohibition on Misuse of the Festival for Unlawful Market ConductParticipants shall not use the Festival as a platform to:
- facilitate unlawful agreements or arrangements;
- engage in coordinated market behaviour;
- influence competitors in a manner that violates competition law;
- conduct any activity that may expose the Organizer or other Participants to legal risk.
26.6 Responsibility and Compliance AwarenessParticipants are responsible for ensuring that their representatives, employees, agents, and affiliates are aware of and comply with competition law requirements.
Participants are encouraged to seek independent legal advice where necessary to ensure compliance.
27. REPUTATION PROTECTION, NON-DISPARAGEMENT AND BRAND INTEGRITY
27.1 Protection of Festival Reputation and GoodwillParticipants shall at all times act in a manner that preserves and protects the reputation, goodwill, mission, values, and international standing of the Festival and the Organizer.
This obligation extends to all forms of conduct, including:
- physical participation at Events;
- digital engagement and communication;
- public and private interactions;
- promotional or commercial activities.
Participants shall not engage in any conduct that may harm, undermine, or adversely affect the image or credibility of the Festival.
27.2 Protection of Leadership, Sponsors and PartnersParticipants shall not engage in any conduct that damages or risks damaging the reputation or standing of:
- the Organizer and its leadership;
- Official Partners;
- sponsors and exhibitors;
- speakers, judges, or contributors;
- any individual or entity associated with the Festival.
Participants shall respect all stakeholders and their roles within the Festival.
27.3 Prohibition of False StatementsParticipants shall not make, publish, or communicate any false, misleading, or inaccurate statements relating to:
- the Festival;
- the Organizer;
- its operations, decisions, or activities;
- any associated stakeholders.
This applies to all forms of communication, including verbal, written, digital, and social media.
27.4 Prohibition of Defamatory or Malicious ConductParticipants shall not engage in any conduct that is defamatory, malicious, harmful, or intended to damage the reputation of the Festival or any associated individual or entity.
Such conduct includes:
- spreading false information;
- making defamatory allegations;
- engaging in harmful or abusive commentary.
27.5 Prohibition of Unauthorized Claims of Endorsement or AffiliationParticipants shall not, without prior written consent of the Organizer:
- claim endorsement by the Festival;
- represent themselves as officially affiliated beyond their approved role;
- use Festival association to imply approval, certification, or partnership.
All representations must be accurate and authorized.
27.6 Organizer’s Right to Protect Brand IntegrityThe Organizer reserves the right to take immediate and appropriate action to protect the integrity, reputation, and brand of the Festival.
Such action may include:
- issuing warnings or directives;
- restricting participation or access;
- removing Participants from the Festival;
- revoking credentials or participation rights;
- pursuing further remedies where necessary.
Such measures may be implemented without prior notice where required to protect the Festival.
28. CONFLICTING ACTIVITIES AND UNAUTHORIZED PARALLEL EVENTS
28.1 Prohibition of Competing Side EventsParticipants shall not organize, promote, sponsor, or participate in any competing side-events or parallel activities that:
- take place during the Festival period;
- utilize Festival traffic, audience, or goodwill;
- conflict with the objectives or interests of the Festival,
without the prior written approval of the Organizer.
28.2 Prohibition of Hijacking Participants or StakeholdersParticipants shall not attempt to:
- divert or recruit delegates, contestants, sponsors, speakers, exhibitors, or attendees away from the Festival;
- solicit participation in competing activities;
- undermine the participation of stakeholders within the Festival.
Any such conduct shall be considered a serious breach of these Terms.
28.3 Prohibition of Unauthorized Events Linked to the FestivalParticipants shall not organize or present any event, activity, or gathering as being connected to, affiliated with, or endorsed by the Festival without prior written consent.
This includes:
- events using the Festival name or branding;
- events marketed as part of the Festival;
- unofficial events presented as official or endorsed.
28.4 Prohibition of Unauthorized Promotions and DistributionParticipants shall not engage in unauthorized promotional activities, including:
- distribution of flyers, brochures, or promotional materials;
- unauthorized branding or advertising;
- promotional campaigns targeting Festival Participants without approval.
All promotional activity must be approved by the Organizer.
28.5 Prohibition of Commercial Parasitic ActivityParticipants shall not engage in any form of parasitic marketing or commercial exploitation of the Festival, including:
- unauthorized use of Festival goodwill;
- leveraging Festival presence for unapproved commercial gain;
- misleading association with the Festival.
28.6 Enforcement and RemediesThe Organizer reserves the right to take immediate enforcement action in response to any breach of this section, including:
- cancellation of participation;
- removal from the Festival;
- revocation of access rights;
- prohibition from future participation;
- pursuit of legal remedies where applicable.
29. INSURANCE AND PERSONAL RESPONSIBILITY
29.1 Participant Responsibility for Insurance CoverageAll Participants shall be solely responsible for obtaining and maintaining adequate insurance coverage in connection with their participation in the Festival.
Such insurance coverage shall include, without limitation:
- travel insurance covering international and domestic travel;
- health and medical insurance, including emergency medical treatment and hospitalization;
- accident and personal injury insurance;
- property insurance covering loss, theft, or damage to personal belongings;
- cancellation or disruption insurance;
- public liability or personal liability insurance where applicable.
Participants shall ensure that such insurance policies are valid, active, and sufficient for the duration of their participation in the Festival and any related travel.
29.2 No Insurance Provided by the OrganizerThe Organizer does not provide insurance coverage of any kind to Participants unless expressly stated in writing.
Participants acknowledge and agree that:
- no insurance is included in registration fees or Packages;
- the Organizer shall not be responsible for arranging or providing insurance on behalf of Participants;
- any assumption to the contrary shall be invalid unless formally confirmed by the Organizer in writing.
29.3 Assumption of Personal ResponsibilityParticipants assume full responsibility for all aspects of their participation in the Festival, including but not limited to:
- personal health and safety;
- travel arrangements and associated risks;
- accommodation arrangements;
- transport and logistical arrangements;
- compliance with applicable laws and regulations.
Participants acknowledge that participation is voluntary and undertaken at their own risk.
29.4 Responsibility for Personal BelongingsParticipants shall be solely responsible for the security and safekeeping of their personal belongings at all times.
The Organizer shall not be liable for any loss, theft, damage, or misplacement of personal property, whether occurring at Festival venues, accommodation locations, transport facilities, or any other location associated with the Festival.
Participants are advised to take appropriate precautions and ensure that valuable items are adequately protected.
29.5 Independent ArrangementsParticipants acknowledge that many aspects of their participation, including travel, accommodation, and related arrangements, may be independently organized or facilitated through third parties.
Participants shall bear full responsibility for:
- entering into such arrangements;
- complying with applicable terms and conditions;
- managing any risks or liabilities associated with such arrangements.
The Organizer shall not be responsible for any issues arising from independently arranged services.
30. DISCLAIMER
30.1 Nature and Purpose of Festival ContentAll content, materials, presentations, discussions, performances, and activities provided or made available as part of the Festival are intended solely for purposes of:
- information sharing;
- engagement and interaction;
- networking and collaboration;
- education and knowledge exchange;
- cultural celebration and recognition;
- review and professional development.
Participants acknowledge that the Festival is a platform for exchange of ideas and experiences and does not provide regulated or certified advisory services.
30.2 No Professional AdviceNothing contained within the Festival, including but not limited to content, presentations, discussions, materials, or interactions, shall constitute:
- legal advice;
- financial or investment advice;
- medical or health advice;
- immigration or visa advice;
- business or commercial advice;
- or any other form of professional advice.
Participants shall not rely on any content or communication as a substitute for professional consultation.
30.3 Third-Party Views and OpinionsThe views, opinions, statements, and content expressed by speakers, participants, exhibitors, or third parties during the Festival are their own and do not necessarily reflect those of the Organizer.
The Organizer does not endorse, verify, or guarantee the accuracy, completeness, or reliability of third-party content.
30.4 Independent Advice RequirementParticipants are strongly advised to seek independent professional advice before acting upon any information, content, or recommendations obtained through the Festival.
Participants assume full responsibility for any decisions made based on such information.
30.5 Limitation of RelianceAll Festival content is provided on an “as is” basis without any representation or warranty, whether express or implied.
To the fullest extent permitted by law, the Organizer disclaims all liability arising from:
- reliance on Festival content;
- inaccuracies or omissions in content;
- actions taken based on such content.
31. FORCE MAJEURE
31.1 Definition of Force Majeure EventsFor the purposes of these Terms, a Force Majeure Event shall include any event or circumstance beyond the reasonable control of the Organizer that prevents, delays, reduces, alters, or affects the performance of its obligations.
Such events include, without limitation:
- natural disasters, including earthquakes, floods, fires, or storms;
- epidemics, pandemics, or public health emergencies;
- acts of terrorism or threats of terrorism;
- civil unrest, riots, or political instability;
- war, armed conflict, or military actions;
- government actions, restrictions, or regulations;
- border closures or travel restrictions;
- cyberattacks, system failures, or technological disruptions;
- power failures or infrastructure breakdowns;
- transport disruptions, including flight cancellations or supply chain failures;
- venue unavailability or failure;
- extreme weather conditions;
- any other event beyond the reasonable control of the Organizer.
31.2 Impact on Organizer ObligationsWhere a Force Majeure Event occurs, the Organizer shall not be liable for any failure, delay, reduction, alteration, or inability to perform its obligations under these Terms.
This includes, without limitation:
- modification of Festival arrangements;
- postponement or cancellation of Events;
- changes to format, venue, or schedule;
- limitation or suspension of services.
31.3 No Liability for ConsequencesThe Organizer shall not be liable for any loss, damage, cost, or expense incurred by Participants as a result of a Force Majeure Event.
Participants acknowledge that such events are beyond the control of the Organizer and accept the associated risks.
31.4 Right to Take Necessary MeasuresIn the event of a Force Majeure Event, the Organizer reserves the right to take any action it deems necessary, including:
- modifying Festival operations;
- implementing alternative arrangements;
- suspending or terminating activities.
Such actions shall not constitute a breach of these Terms.
32. LIMITATION OF LIABILITY
32.1 General Limitation of LiabilityTo the fullest extent permitted by Applicable Law, the Organizer, its affiliates, officers, directors, employees, agents, contractors, and partners shall not be liable to any Participant for any loss, damage, liability, cost, or expense arising out of or in connection with the Festival, participation in any Event, or these Terms.
This limitation applies whether such liability arises in contract, tort (including negligence), statutory duty, or otherwise.
32.2 Exclusion of Indirect and Consequential LossesTo the fullest extent permitted by Applicable Law, the Organizer shall not be liable for any indirect, incidental, special, or consequential loss or damage suffered by a Participant.
Such excluded losses include, without limitation:
- loss arising indirectly from participation or non-participation;
- losses resulting from operational disruptions;
- losses that are not a direct and immediate consequence of the Organizer’s actions.
32.3 Exclusion of Specific Categories of LossWithout limitation to Clause 32.2, the Organizer shall not be liable for any loss of:
- profit, revenue, or anticipated earnings;
- business opportunities, contracts, or commercial prospects;
- goodwill, brand value, or reputation;
- data, information, or digital assets;
- professional or personal advancement opportunities.
Participants acknowledge that such losses are speculative in nature and are not recoverable.
32.4 Exclusion Relating to Travel and AccommodationThe Organizer shall not be liable for any loss, damage, or expense arising in connection with:
- travel arrangements, including flights, transport, or transit;
- accommodation bookings or arrangements;
- visa or immigration-related costs;
- logistical or personal arrangements made by Participants.
This applies regardless of whether such arrangements were independently made or facilitated through third parties.
32.5 Limitation and Cap on LiabilityTo the extent that liability cannot be excluded but may be limited under Applicable Law, the total aggregate liability of the Organizer shall be limited to the amount of Fees paid by the Participant for participation in the Festival.
This limitation shall apply to all claims arising out of or in connection with these Terms or participation in the Festival.
32.6 Liability That Cannot Be ExcludedNothing in these Terms shall exclude or limit liability where such exclusion or limitation is not permitted under Applicable Law.
This includes, without limitation:
- liability for death or personal injury caused by negligence;
- liability for fraud or fraudulent misrepresentation;
- any other liability that cannot lawfully be excluded or restricted.
33. INDEMNITY
33.1 Participant Indemnity ObligationEach Participant shall indemnify, defend, and hold harmless the Organizer, its affiliates, officers, directors, employees, agents, contractors, partners, and representatives from and against any and all claims, liabilities, damages, losses, costs, and expenses (including reasonable legal fees) arising out of or in connection with:
- any breach of these Terms by the Participant;
- any misconduct or improper conduct by the Participant;
- any negligent act or omission by the Participant;
- any unlawful act or violation of applicable laws by the Participant.
33.2 Indemnity for Intellectual Property InfringementParticipants shall indemnify and hold harmless the Organizer from any claims arising from:
- infringement of intellectual property rights;
- unauthorized use of third-party materials;
- submission of content without proper rights or permissions.
This includes claims relating to submitted materials, performances, or any content contributed by the Participant.
33.3 Indemnity for Damage and LossParticipants shall be responsible for and indemnify the Organizer against any loss or damage caused by the Participant to:
- Festival venues or facilities;
- equipment or infrastructure;
- property of other Participants or third parties.
33.4 Indemnity for Claims Arising from SubmissionsParticipants shall indemnify the Organizer against any claims, disputes, or liabilities arising from:
- content submitted by the Participant;
- representations or warranties made by the Participant;
- use or exploitation of submitted materials in accordance with these Terms.
33.5 Scope and Continuity of IndemnityThe indemnity obligations under this section shall:
- apply regardless of whether the claim arises during or after the Festival;
- survive the termination or conclusion of participation;
- extend to all related claims, losses, and expenses.
34. SUSPENSION, REMOVAL, TERMINATION AND DISQUALIFICATION
34.1 Right to Suspend or Revoke RegistrationThe Organizer reserves the right, at its sole discretion, to suspend or revoke a Participant’s registration or participation rights at any time where:
- the Participant breaches these Terms;
- the Participant fails to comply with applicable rules or requirements;
- continued participation is deemed inappropriate or non-compliant.
34.2 Denial of EntryThe Organizer reserves the right to deny entry to any Participant to:
- Festival venues;
- Events or sessions;
- digital platforms or online environments,
where such action is considered necessary for compliance, safety, or operational reasons.
34.3 Removal from Venue or Digital PlatformThe Organizer may remove any Participant from:
- physical venues;
- Events or activities;
- digital platforms or systems,
where the Participant’s conduct is in breach of these Terms or otherwise inappropriate.
Such removal may occur immediately and without prior notice where necessary.
34.4 Disqualification from CompetitionParticipants may be disqualified from any competition, program, or Event where:
- eligibility requirements are not met;
- rules or standards are breached;
- misconduct, fraud, or misrepresentation occurs.
Disqualification may occur at any stage, including after results have been announced.
34.5 Withdrawal of Titles, Benefits, Badges or AccreditationThe Organizer reserves the right to withdraw or revoke any:
- title or recognition;
- award or placement;
- benefit or entitlement;
- badge, credential, or accreditation,
where a Participant is found to be in breach of these Terms or no longer compliant with requirements.
34.6 No Refund in Case of BreachWhere any action is taken under this section as a result of a Participant’s breach of these Terms, no refund, compensation, or reimbursement shall be provided.
Participants acknowledge that enforcement actions are necessary to maintain the integrity and operation of the Festival.
35. AMENDMENTS TO TERMS AND OPERATIONAL POLICIES
35.1 Right of the Organizer to Amend TermsThe Organizer reserves the right, at its sole discretion and at any time, to amend, modify, update, or revise these Master Terms & Conditions, as well as any related policies, operational procedures, guidelines, or requirements governing the Festival.
Such amendments may be made to reflect, without limitation:
- operational needs or logistical adjustments;
- changes in legal or regulatory requirements;
- safety, security, or compliance considerations;
- enhancements to Festival structure, delivery, or participation models.
35.2 Publication of Updated TermsAny updated version of these Terms or related policies may be published through official Festival communication channels, including but not limited to:
- the official website;
- the official registration platform;
- official communications issued by the Organizer.
Participants are responsible for reviewing the most current version of the Terms.
35.3 Acceptance Through Continued ParticipationContinued participation in the Festival following the publication or communication of updated Terms shall constitute full and binding acceptance of such amendments by the Participant.
Participants acknowledge that it is their responsibility to remain informed of any updates.
35.4 Immediate Effect of Certain ChangesThe Organizer reserves the right to implement certain amendments with immediate effect where necessary for:
- safety and security requirements;
- compliance with Applicable Law;
- operational continuity or emergency circumstances.
Participants shall comply with such changes immediately upon notification or publication.
36. ENTIRE AGREEMENT
36.1 Scope of the AgreementThese Master Terms & Conditions, together with all Event-Specific Terms, policies, codes of conduct, privacy documents, operational guidelines, and any official written confirmations issued by the Organizer, shall constitute the entire agreement between the Participant and the Organizer in relation to the Festival.
36.2 Supersession of Prior AgreementsThis entire agreement supersedes and replaces all prior communications, agreements, representations, or understandings, whether oral or written, relating to participation in the Festival.
Participants acknowledge that no reliance is placed on any statement or representation not expressly included within this agreement.
37. NO PARTNERSHIP OR AGENCY
37.1 No Legal Relationship CreatedParticipation in the Festival shall not create, and shall not be construed as creating, any form of:
- employment relationship;
- partnership;
- agency relationship;
- joint venture;
- franchise arrangement;
- or any authority to bind the Organizer.
37.2 No Authority to Act on Behalf of OrganizerParticipants shall not represent themselves as agents, representatives, or authorized persons acting on behalf of the Organizer, unless expressly authorized in writing.
Participants shall not enter into agreements or make commitments in the name of the Organizer.
38. ASSIGNMENT AND TRANSFER
38.1 Restriction on Participant AssignmentParticipants shall not assign, transfer, delegate, or otherwise dispose of any of their rights or obligations under these Terms without the prior written consent of the Organizer.
Any attempted assignment without such consent shall be invalid.
38.2 Organizer’s Right to AssignThe Organizer reserves the right to assign, transfer, or delegate its rights and obligations under these Terms to:
- affiliated entities;
- partners involved in the Festival;
- lawful successors or assignees;
- entities involved in the restructuring, administration, or operation of the Festival.
Such assignment shall not affect the validity or enforceability of these Terms.
39. WAIVER
39.1 No Waiver by Delay or FailureAny failure or delay by the Organizer in exercising any right, power, or remedy under these Terms shall not constitute a waiver of such right, power, or remedy.
39.2 No Partial WaiverAny partial exercise of a right shall not prevent further exercise of that or any other right.
A waiver shall only be effective if expressly made in writing by the Organizer.
40. SEVERABILITY
40.1 Validity of Remaining ProvisionsIf any provision of these Terms is determined to be invalid, unlawful, or unenforceable under Applicable Law, such provision shall be severed from the Terms.
40.2 Continuation of Remaining TermsThe remaining provisions shall remain valid, enforceable, and in full effect.
The invalid provision shall be replaced, where possible, with a valid provision that most closely reflects the original intent.
41. NOTICES AND OFFICIAL COMMUNICATIONS
41.1 Official Communication ChannelsAll official communications relating to the Festival shall be conducted through authorized channels designated by the Organizer, including but not limited to:
- the official Festival website;
- the official registration platform;
- official email addresses provided by the Organizer.
41.2 Validity of Electronic CommunicationParticipants acknowledge and agree that electronic communication shall constitute valid and legally binding communication.
This includes:
- email notifications;
- website updates;
- platform announcements;
- digital correspondence.
41.3 Responsibility to Monitor CommunicationsParticipants shall be responsible for:
- regularly checking official communication channels;
- reviewing updates, notices, and announcements;
- ensuring that contact details provided are accurate and functional.
Failure to review communications shall not excuse non-compliance with the Terms or any updates issued by the Organizer.
42. GOVERNING LAW AND JURISDICTION
42.1 Governing LawThese Master Terms & Conditions, together with all rights, obligations, and matters arising out of or in connection with the Festival, shall be governed by and construed in accordance with the laws of South Australia and the Commonwealth laws of Australia, without regard to any conflict of law principles that would otherwise apply the laws of another jurisdiction.
Participants acknowledge that the Festival is organized and administered under the legal framework of Australia, and that all participation is subject to such governing law.
42.2 Jurisdiction of CourtsSubject to Clause 43 (Dispute Resolution), the courts of South Australia shall have exclusive jurisdiction to hear and determine any dispute, claim, or matter arising out of or in connection with these Terms, the Festival, or participation in any Event.
Participants irrevocably submit to the exclusive jurisdiction of such courts and waive any objection to:
- the venue of such proceedings;
- the jurisdiction of such courts;
- any claim that such courts are an inconvenient forum.
42.3 International Participation AcknowledgmentParticipants located outside Australia acknowledge and agree that:
- cross-border participation does not alter the governing law or jurisdiction;
- they remain subject to the laws and jurisdiction specified in this section;
- any enforcement of rights or obligations shall be conducted in accordance with the applicable legal framework of the governing jurisdiction.
42.4 Reservation of RightsNothing in this section shall limit the Organizer’s right, where legally permissible, to:
- seek interim or injunctive relief in any competent jurisdiction;
- enforce judgments or orders across jurisdictions;
- take action necessary to protect its legal rights, intellectual property, or operational integrity.
43. DISPUTE RESOLUTION
43.1 Good Faith Negotiation
In the event of any dispute, claim, or disagreement arising out of or in connection with these Terms or participation in the Festival, the parties shall first seek to resolve the matter through good faith negotiations.
Participants shall notify the Organizer in writing of the nature of the dispute, and both parties shall make reasonable efforts to resolve the matter amicably within a reasonable timeframe.
43.2 Escalation and Internal Resolution
Where a dispute cannot be resolved through initial communication, the matter may be escalated within the respective organizations of the parties to individuals with appropriate authority to seek resolution.
Participants agree to engage constructively and in good faith during such escalation.
43.3 MediationIf the dispute remains unresolved following good faith negotiations, the parties shall attempt to resolve the dispute through mediation before initiating formal legal proceedings.
Mediation shall:
- be conducted by a mutually agreed independent mediator;
- take place in a location agreed by the parties or, failing agreement, in South Australia;
- be conducted in accordance with recognized mediation procedures.
The costs of mediation shall be shared equally by the parties unless otherwise agreed.
43.4 Court Proceedings
If the dispute is not resolved through mediation, either party may refer the matter to the courts in accordance with Clause 42.
Participants acknowledge that court proceedings shall be the final method of dispute resolution unless otherwise agreed in writing.
43.5 Preservation of Rights
Nothing in this section shall prevent either party from seeking urgent or interim relief, including injunctive or protective measures, where necessary to preserve rights or prevent harm.
44. FINAL ACKNOWLEDGMENT
44.1 Binding Acceptance of Terms
By registering for, attending, participating in, purchasing, applying for, or otherwise engaging in any official activity of the Festival, each Participant expressly acknowledges and agrees that they are legally bound by:
- these Master Terms & Conditions;
- all relevant Event-Specific Terms applicable to their participation;
- all official Festival rules, codes, policies, and operational instructions issued by the Organizer.
44.2 Confirmation of Understanding
Participants confirm that:
- they have read and understood these Terms in full;
- they have had the opportunity to seek independent advice where necessary;
- they accept all obligations, responsibilities, and conditions contained herein.
44.3 Condition of Participation
Acceptance of these Terms shall be a mandatory condition for participation in the Festival.
No individual or entity shall be permitted to participate in any capacity without agreeing to be bound by these Terms.
44.4 Comprehensive Binding Effect
These Terms shall apply to all aspects of participation, including:
- physical attendance;
- digital or online engagement;
- competition participation;
- commercial, sponsorship, or exhibition involvement;
- any other form of engagement within the Festival.
44.5 Acknowledgment of Full Agreement
Participants acknowledge that these Terms, together with all referenced documents, constitute a comprehensive and binding agreement governing their participation in the Festival.
45. FINAL DECLARATION AND LEGAL EFFECT

This document constitutes the official Master Terms & Conditions governing the RSW INTERNATIONAL FESTIVAL 2026 and establishes a legally binding framework regulating all aspects of participation, engagement, and involvement in the Festival.

This document is designed to operate across multiple jurisdictions and applies to all Participants regardless of country of origin.
Participants acknowledge that their involvement in a global Festival environment requires adherence to a unified legal and operational framework.
45.4 Protection of Festival Integrity
These Terms are established to protect:
- the integrity and reputation of the Festival;
- the fairness and transparency of all processes;
- the rights and obligations of all Participants;

45.5 Continuing Legal Effect
These Terms shall remain valid and enforceable:
- throughout the duration of the Festival;
- in relation to all activities connected to participation;
- and after the conclusion of the Festival where obligations, rights, or liabilities continue to apply.

Participants acknowledge their responsibility to act in accordance with these Terms and to contribute to a professional, respectful, and globally aligned Festival environment.
45.7 Final Authority StatementThis document represents the complete and authoritative legal framework governing participation in the RSW INTERNATIONAL FESTIVAL 2026.
All Participants are required to review, understand, and comply fully with its provisions as a condition of engagement.
SECTION B – ADDITIONAL PROVISIONS APPLYING TO PHYSICAL ATTENDANCE
Physical Attendance Rules
B.1 General Attendance ObligationsParticipants attending the Festival in person shall comply with all physical attendance requirements established by the Organizer, including all operational, logistical, safety, and regulatory instructions applicable to on-site participation.
Participants acknowledge that physical attendance is subject to:
- venue capacity limitations;
- scheduling and program requirements;
- security, safety, and compliance protocols;
- operational procedures necessary for the effective delivery of the Festival.
Participants shall ensure that they are present at the appropriate locations and times as required for their participation and shall conduct themselves in a manner consistent with the standards of the Festival.
B.2 Admission and Entry ConditionsAdmission to Festival venues shall be conditional upon:
- valid registration and confirmed participation;
- possession of appropriate credentials;
- compliance with entry procedures and security checks;
- adherence to all applicable attendance requirements.
The Organizer reserves the right to refuse admission to any Participant who fails to meet these conditions.
B.3 Compliance with On-Site InstructionsParticipants shall comply at all times with instructions issued by:
- the Organizer;

Failure to comply with such instructions may result in denial of access, removal from the venue, or other enforcement action.

Participants shall cooperate fully with all such procedures as a condition of entry.
B.6 Security Compliance and MonitoringThe Organizer reserves the right to implement security monitoring measures, including surveillance systems and access controls, to ensure safety and operational integrity.
Participants acknowledge and consent to such monitoring where permitted by law.
B.7 Denial or Restriction of AccessThe Organizer reserves the right to:

Such actions may be taken without prior notice where necessary.

- remove Participants from Events where non-compliance persists.

B.10 Conduct in Accommodation FacilitiesParticipants shall comply with all rules, policies, and requirements applicable to accommodation facilities used in connection with the Festival.
Participants shall:
- respect property and facilities;
- comply with local regulations and accommodation policies;
- conduct themselves in a manner that does not disturb other occupants.
B.11 Local Conduct and ComplianceParticipants shall comply with all applicable local laws, customs, and standards of behavior in the host location.
Participants shall:
- act respectfully towards local communities;
- comply with public regulations and cultural expectations;
- avoid conduct that may result in legal or reputational issues.
B.12 Responsibility for Accommodation ArrangementsParticipants remain fully responsible for their accommodation arrangements, including:
- compliance with booking terms;
- payment of all associated costs;
- conduct during their stay.
The Organizer shall not be liable for any issues arising within accommodation facilities.
Festival Parties, Ceremonies and Side Functions
B.13 Participation in Official FunctionsParticipants attending Festival parties, ceremonies, or side functions shall comply with all rules and requirements applicable to such Events.
Participation may be subject to:

B.14 Conduct at Social and Official EventsParticipants shall conduct themselves in a respectful and responsible manner during all social and official functions.

Participants acknowledge that their presence may result in being captured in such recordings.
B.17 Restrictions on Participant RecordingParticipants shall not:
- record restricted sessions or content;
- conduct unauthorized filming or broadcasting;
- capture or distribute content in violation of Organizer instructions.
Any recording must comply with applicable permissions and guidelines.
B.18 Media Access and ControlMedia access within Festival venues shall be controlled by the Organizer.
Participants shall not interfere with authorized media operations or attempt to conduct unauthorized media activities.
Restricted Items and Safety Procedures
B.19 Prohibited and Restricted ItemsParticipants shall not bring into Festival venues any items that are prohibited, restricted, or deemed unsafe.
Such items may include, without limitation:

B.20 Safety ProceduresParticipants shall comply with all safety procedures implemented within Festival venues, including:

B.21 Enforcement of Safety MeasuresThe Organizer reserves the right to:
- confiscate prohibited items;

Such actions may be taken immediately where necessary.
SECTION C – ADDITIONAL PROVISIONS APPLYING TO DIGITAL / ONLINE / HYBRID PARTICIPATION
Online Access Rights
C.1 Scope of Digital ParticipationParticipants may be granted access to digital, online, or hybrid components of the Festival through designated Digital Platforms provided or authorized by the Organizer.
Such access may include, without limitation:
- live streaming of Events, sessions, or performances;
- participation in virtual sessions, panels, or discussions;
- access to digital materials, content, or resources;
- engagement through networking tools or online interaction features.
All digital access rights shall be defined by the Participant’s approved registration and Package and shall be subject to the limitations and conditions set out in these Terms.
C.2 Conditional Nature of AccessOnline access rights are granted on a limited, revocable, and non-exclusive basis for the sole purpose of participating in the Festival.
Participants acknowledge that:
- access is conditional upon compliance with these Terms;
- access may be restricted, suspended, or modified based on operational or technical requirements;
- access does not constitute ownership or entitlement to any digital content or platform.
The Organizer reserves the right to regulate, modify, or withdraw access where necessary.
Streaming Access Conditions
C.3 Live and On-Demand StreamingParticipants may be provided with access to live or on-demand streaming of Festival content.

SECTION D – EVENT-SPECIFIC INCORPORATION CLAUSE
D.1 Application of Event-Specific Terms
In addition to these Master Terms & Conditions, Participants acknowledge and agree that additional rules, requirements, conditions, and operational guidelines shall apply to the specific Event(s) for which they have registered, applied, been selected, or otherwise engaged.
Such Event-Specific Terms shall govern the detailed structure, participation criteria, operational procedures, evaluation processes, and any other requirements unique to the relevant Event.
D.2 Scope of Events Covered
This incorporation clause applies to all official Events conducted under the RSW INTERNATIONAL FESTIVAL 2026 umbrella, including, without limitation:
- Miss RSW International 2026;
- RSW VoiceLight Global Gospel Music Experience 2026;
- RSW International Film Festival 2026;
- RSW Global Trade Expo 2026;
- and all other official Events, programmes, summits, forums, competitions, exhibitions, performances, or activities organized as part of the Festival.
Participants acknowledge that each of the above Events, and any additional Events introduced under the Festival framework, may be subject to distinct rules and requirements.
D.3 Supplementary Nature of Event-Specific Terms
Event-Specific Terms shall operate as supplementary provisions to these Master Terms & Conditions.
Participants acknowledge and agree that:
- Event-Specific Terms provide additional detail and requirements applicable to the relevant Event;
- such terms shall be read together with the Master Terms as a unified contractual framework;
- compliance with both the Master Terms and Event-Specific Terms is mandatory for participation.
Event-Specific Terms shall not replace or override the Master Terms unless expressly stated by the Organizer.
D.4 Binding Effect of Event-Specific Terms
By registering for, applying to, or participating in any specific Event, Participants expressly agree to be bound by:
- the Master Terms & Conditions; and
- all Event-Specific Terms applicable to that Event.
Participants acknowledge that acceptance of Event-Specific Terms is a condition of participation in the relevant Event.
D.5 Conflict and Interpretation
In the event of any inconsistency, ambiguity, or conflict between:
- the Master Terms & Conditions; and
- any Event-Specific Terms,
the Organizer shall have the exclusive right to determine the interpretation, application, and resolution of such conflict.
Participants agree that the Organizer’s determination shall be final and binding.
D.6 Breach of Event-Specific Terms
Any breach, violation, or non-compliance with Event-Specific Terms shall constitute a breach of these Master Terms & Conditions.
Participants acknowledge that:
- enforcement actions may be taken under both the Master Terms and Event-Specific Terms;
- consequences of breach may include suspension, removal, disqualification, or other measures as determined by the Organizer.
D.7 Integration Across Festival Framework
Participants acknowledge that the Festival operates as an integrated, multi-event global platform, and that Event-Specific Terms are an essential component of the overall governance framework.
All Event-Specific Terms shall form part of the broader contractual relationship between the Participant and the Organizer and shall be enforceable accordingly.
